Content & Development Update

Good afternoon,

I am Veronica, a content specialist here in Diocesan's web department. I will be working with you from now, through training, and until the launch of your new website. I just wanted to let you know that a developer is set to begin creating your website within the next week or so. In the meantime, we're eager to get started on your website's content strategy so that we are ready to begin as soon as the developer gives the OK.

Typically, we begin content with a suggested sitemap for you to look at. In your case, a lot of your pages are not in the sidebar menu can be difficult for users to find. So before we begin, we would like you to take a look at a list of all your current pages and remove any pages that you do not want Diocesan to migrate and feel free to add any pages that you plan on providing content for or would like to see added to your website. Once you have made your edits, one of our content specialists will reorganize the remaining pages to provide you with a suggested sitemap.

Here is the link to a list of all your current pages:
https://docs.google.com/document/d/1CX-bUtPzoKxaP1B6SDx8qrEbl4xVWbvYlJpLugOfXCk/edit?usp=sharing
Feel free to make edits to this online document directly and add comments or text for clarification, as needed.

Please let us know when you are complete and we will begin creating your suggested sitemap!

FROM THE CLIENT Dan DiLuzio, St. Ann Bethany Beach Staff
Julie and Liz,
(I'm copying Veronica on this, so my apologies if it's a little long
winded . . . )

Nancy and I took some time earlier to try to make a stab at Veronica's
request below. We went through the listed pages and tried to determine
whether or not they were needed/not needed. We also came up with a
separate category of "Archive", which would include pages that may be
reused on a periodic basis (usually annually), but may not be visible on
a regular basis. We've flagged the pages, but would appreciate it if
you could do a quick sanity check.

We did this on the attached document, rather than online so that we
could include some additional information.

As you know we have been trying to have the new web site reflect our
parish mission; not just information on the parish, but also how we can
serve our parish and community. We've gone through a few iterations,
but I think there are four main areas:

1. BUILD community
2. TEACH and evangelize
3. MINISTER to spiritual needs
4. SERVE our parishioners and neighbors

This corresponds roughly to the divisions on the St. Magdalen de Pazzi
website that we had used as a departure point for content
(http://www.stmagdalen.org/). And, my thought is that, just as there,
the four top-level buttons on our site would each encompass one of those
areas:

There's a fifth category that is "Organizational" , which is just more
or less a description of our physical parish. It seems like that's the
preponderance of our site right now.

Anyway, the additional information that was added was a categorization
of each of the current web pages, according to that breakdown. Please
take a look and see if it makes sense to you, and also let's start to
look at some of the holes that we have in our current content, and how
we might fill them. And. please, if you have any suggestions or
comments, reply to this note via cc so that we can start sharing some
ideas.

We're gone for a couple of weeks now, but maybe we can get together to
discuss on a Friday in mid July; how is July 19?

(Veronica, a work in progress . . . :-)

Dan

TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan
Good morning Dan and thank you for sending over your list. This is going to be extremely helpful!

I understand everything about the layout except for the 0 category. Is this the archive category that you had mentioned, or are you still looking for a place for them?

We'll hold off until tomorrow morning to see if anyone has any notes about the list you sent out. Then we will let you know that we are ready for migration.

Thank you,

Veronica Alvarado

Web Department, Diocesan

FROM THE CLIENT Dan DiLuzio, St. Ann Bethany Beach Staff
Veronica,

The archive category is separate; nothing more than a parking lot for
information/pages that we may be able to recycle or reuse, but that
aren't immediately pertinent. For example, the AARP tax assistance
program is active every year between February and April. We want to keep
the program information available so that we don't have to reinvent the
wheel every year, but don't want to present it to a website visitor in
August, for instance. We'll pull it out of the archive, dust it off,
and update it when tax time comes around each year. So, I guess the
archive is basically a holding area for the web master with no readily
accessible links pointing to it, or a set of pages stored under password
protection, or some other way of segregating it from the general public.

The "0" category itself is basically all of the pure nuts and bolts info
about the parish, that doesn't fit into one of the other four "mission"
categories. It's important, but represents something more like the
infrastructure that the other four categories rest upon. If you look
at your own web site (Diocesan, I mean), the top menu is how a customer
would seek for help in any one of six categories. That more or less
corresponds to our "mission" categories. The "0" category would really
be the nuts and bolts of the parish, similar to a lot of the stuff on
the bottom banner menu on Diocesan: who are you, what's your history,
who works for you, how are you organized, how do I get in touch, etc.

It's important information, we want to include it, and it may be both
interesting and useful information. We certainly want to keep things
like mass times and the parish calendar front and center. But, if
someone comes to our web site looking for help, we don't want to hit
them up front with the history of our parish or the organization of our
staff or makeup of the pastoral council. It should be accessible, but
not get in the way of what we are trying to do as a parish: minister to
parishioners' spiritual needs, build community, evangelize, and support
our neighbors in need.

Does that help explain?

Dan

.
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Hi Dan,

That definitely helps explain. Since there are 28 items as 0/unctegorized, I have recreated a sitemap for you that reorganizes the website, adding the category of CONTACT for quick access to where the parish is and how to reach you and replacing "Organizational" with CONNECT. The highlighted items were currently uncategorized, so that you can see where I placed them.
For the remaining information that did not fit in one of the 6 categories, I have added About Our Parish, 2018-19 Fiscal Year, Photo Gallery, and Sitemap as the 4 footer links. That way, the financial and parish information is in the footer, available but not a primary focus.

Below is the new sitemap we have created. I am left with only the Tuition Assistance Program page to find a place for (found under Uncategorized).
Feel free to edit the document directly and just let us know when you are done editing it.

I think we still need to talk this week so that we don't hold the
developers up unduly; so, I'm setting up for this Friday at 1:00 pm.
Julie and Nancy, let me know if that is a problem; otherwise, see you
then.

Liz, understand about the guests. If you'd like we can meet
individually some morning, prior to that - just let me know if you want
or are able to squeeze something in. Otherwise we'll keep you posted.

Thanks, all!

Hi, Veronica,

Friday late morning would be best - one of our team works M-Th and is
only available on that day. Do you have something around 11?

When we met last week, we revised our pages list, to better organize
them in terms of content; I've attached the file.

Thanks!

Hi, Veronica,

My bad - Friday works for everyone - except Nancy and I! Can we push it
out to Friday August 2; same time, around 11:00?

Also, is there sometime on Thursday afternoon that we can have a quick
call to touch base; probably just Nancy and I. Let me know, and sorry
for the confusion!

evening, but this afternoon is kind of dicey - sorry!

Hey, Cody, I think we're good to go. The team is at the point where
they need to be able to review something concrete to see if we've missed
something, but I think we're most of the way there. More content to be

Hello Everyone,

In the design, there is a proof for the Staff page. The pictures that we have of the staff from the old site are too small to be of good quality for the Staff page on the new site. I was wondering if you had any photos of a larger size and with increased resolution. These pictures can be updated later if needed, but I figured I would ask and at least make you aware of the issue so that it gives you time to hopefully fulfill the request. I can send you a link to a Google Drive folder where you can upload the photos and I can use them on the website.

Let me know what you'd like to do!

Hi, Cody,

I have 14 new pictures from the recent parish directory - not everyone,
but most. They're all about 400-500 KB; so, a lot better than what we
have there now.

I'll load them up to the Media library on the current web site. I need
to contact the missing persons and have them send me a photo. I'll keep
you posted.

Dan

I have added the staff photos to the new site. All of the ones that you uploaded and have replaced the previous staff photos with the new ones.

Thank you for keeping me posted.
