Calendar

Hi Joni,

What version of Outlook are you using for your calendar? Once you provide me with that information, I can send over the calendar instructions.

  • Outlook 2007
  • Outlook 2010
  • Outlook 206
  • Outlook 365
  • Outlook Web App

Thank you,

Sure thing. We are using Outlook365. Thank again.

Good morning Joni,

I'm going through various documentation regarding sharing calendars in Office 365 and not finding too much information on an iCal link. Also, since I do not have the program or an account, I am unable to check around and see how things work. This may be something we want to ask Roger about at the Diocese since he may have more information or experience with sharing calendars with outside users.

Let me know if you'd like for me to reach out to him and cc you, or if you would like to do so. I'd love to get this sorted out before we get too much further along.

Hi Veronica. I work closely with Roger and the IT Desk, and am happy to call, but I think in this case it would probably be better for you to be in direct contact. I remember we went through this exercise with the old site because it didn’t support Outlook. Either way, I’m sure they’ll have the answers.

If you would please CC me so that I can keep up with the conversations that would be great. Just let me know if/when you need something from me.

Have a great weekend.

Peace,
Joni

Good morning,

That makes sense. I will email Roger later today and see what needs to be done. I'll be sure to cc you in any emails I send over.

Thanks, Joni!

Good Afternoon Coleen,

I wanted to send an email in reference to the calendar and how to get it on the website. The best way to integrate it into the website is through Google Calendar and I know you used Outlook right now. These instructions are from the IT Helpdesk for the Diocese of Venice, so they should work for your system:

People that share Office 365 calendars on websites typically publish the calendar to a link via the Outlook Web client and choose “Can view titles  and locations”. That gives all the information most need for public events. They produce an html link that can be embedded in an iframe on the site page. An ics link is also possible. [emphasis added]

Following are a few steps that may help.

If the calendar is not the users, after logging in, click the picture at the top right and then “Open another mailbox” and enter the name of the mailbox/room that you want to open the calendar for.

After the desired ‘mailbox’ is opened, click the gear at the top right and choose “View all Outlook settings”

Then choose “Shared calendars”. Here is a screenshot of the publishing dialog box.

I think the ics link is our best bet, since we can create a google calendar from that ics link and I believe it will update automatically frequently throughout the day, but, of course, I would like to test this. You can get the ICS link in the last image through shared calendars and selecting it from the dropdown list.

Let me know if you have any questions with this!

Thank you and have a great weekend,
