I am Veronica, the content strategist here at Diocesan. As you mentioned, you wanted your website to roll out in September. Are you wanting to launch by a specific date in September?
Our development phase (taking the design and turning it into a functional website) cannot actually begin until you have approved the design. Development typically takes 4-6 weeks. If you approve by August 1, that would set us up to develop, complete content, train you, allow you to make edits, and launch by August 30 - September 13.
In order to meet this timeline, I will ensure that your current website's content will be ready to go as soon as you have been trained. Additionally, we can set up your training to be done as soon as the site is editable (but not quite mobile responsive).

Hello Sam,
How are we looking as far as timeline and wanting to roll this out in September? Also, if we wanted to make any updates, corrections, changes on our own to the proofs, is this something we can do? Or do we need to go through you?

Completely understandable. I'm glad you have the forsight to see how important the website will be. Also, thank you for being so understanding in terms of the timeline.
To address your previous content questions, you will have time once we develop/build the website to go in and change content. For the areas that are static, you can submit changes and we can do so for you.
At this point in the design stage, there is no need to get hung up on any spelling/information errors. When we go into development, we have to retype everything and do our best to proofread everything.

When you say ‘content’, what does that entail? Text only? In the development phase, if we want to make changes/additions/updates to the design, can you take care of this? And, is this included in the cost or will there be a fee once the design is approved and we request changes/updates/additions after the approval?
Additionally, our IT committee had a few questions, and have listed them below. After the design has been approved…..
1. Can we change photos? Add photos? And the placement of the photos?
2. For the scrolling pics on the home page, how many can we have? Can we increase or decrease the amount of photos? Can we choose the duration of each photo as it scrolls? We would like the option to link a scrolling photo to a URL or page (please reference Diocese of Orlando). And we would like the “Dots” instead of the arrow keys. We also requested the option to add a video in lieu of pictures as well.
3. Any changes to the structure such as the Navigation Menu, is that part of the monthly maintenance or will there be an extra fee?
4. Can we make changes to the template? Or is it hardcoded? Once hardcoded, can we still make changes?
I’ve cc’d 2 members of our IT committee in this email in case they had additional questions as well.

Content includes text, images, documents, and any automatic content (Bulletins, RSS feeds, etc) that display on your website's pages. The biggest difference between my job and copy/pasting, is that I specialize in content strategy. Therefore, I organize your content so that it is clear, concise, accurate, and (most importantly) consistent.
According to your consultation, it looks as though I will be moving over all content on your current website. Before moving the content, I want to make sure that I am moving the correct pages. Later today, I will provide a link to a Google Document that details all of your pages in a sitemap. This way you can mark which ones you want migrated and those you do not.
As for the changes/additions/updates to the design, we can do whatever changes you would like, but please note that they are not covered in your initial quote, so any large changes (mainly functionality) will mean more development hours, which may result in going over budget. Overall, the more changes, the more time it takes, which is why we hope that any/all changes made in the design phase are final and will eliminate further changes in the build phase.
Here is the state of your project as of right now:

Here are the answers to your IT committee's questions:
- Adding media (images, documents, audio files) are completely up to you once you have been trained and have your own account to log into. For example, your homepage, images behind "I'm New" and the other 4 featured boxes, and the image below the Parish media, are all images that you can change at any time after training. As for the page content, it is entirely up to you. We give you the ability to add 1 or 2 columns, which essentially act similar to a Word Document. You can add images, right alight, left align, different header font sizes, etc.
- You will have the ability to add up to 5 images. We do not allow for more than 5 images, because in our experience if there are more than 5 it becomes ineffective. Read more about this in the attached document.
As for images, we typically allow for either images OR a video. We can create the option for you to pick between the two, if you would like. So either the homepage displays your slider OR it displays a video. We will need to discuss this in more detail once we have gotten to the development/build phase. - Changes to the navigation menu (in addition to changes to the page, creation/deletion of pages) is free, as it is something that is up to you. We cover how to change menu items and much more during our training.
- The website's template is hardcoded by our developers to ensure the integrity/consistency of the design remains intact. Any changes may be requested in the development/build phase. Most of these changes will be covered by your budget, but large demands that require entire separate inner-page templates, functionality changes, etc., may go beyond budget. If this happens, we will let you know of estimated hours/cost.
Lastly, since we use Basecamp to send our messages, could you please give me the emails of the two IT committee members so that I may add them to our project here on Basecamp?
