Website Building

Antoinette and Heather,

Hi.  I wanted to follow-up per the phone conversation Antoinette and I had recently and mention that the project has moved to the live build stage with our developer, Daniel.  He and our content specialist, Veronica, will both reach out to you and are moving on the project to complete as soon as possible.  As mentioned from our conversation and a similar one between Heather and Blake, the project timeline became extended from the various changes per the parish in the design stage.  We sincerely appreciate the understanding by both of you in realizing how that impacted the original launch date.  Daniel will keep you apprised of a new timeline.

On our end (Daniel, Veronica and Blake), Heather and Antoinette are both the primary contacts on this moving forward.  Please cc both of them.

Other than that, let us know if there is anything else you may need.

Thanks everyone.

-Kevin

Good afternoon Antoinette and Heather,

As Kevin mentioned, my name is Daniel and I'm working on building your new websites over the next few weeks.

Once we've completed the initial framework, we'll share a link to the development site so you're able to see the progress as it's being built and Veronica is migrating and curating your content. Since a few of us will be out of the office for the Holidays, right now we're looking at the week of January 15-19th.

Once we reach the final stages of development, we'd like to schedule a time for training on the new site's WordPress Dashboard where you can log in and keep all the content up to date. Any staff who you anticipate helping with the sites is welcome to join. This involves a phone call and screen sharing, generally taking 1-2 hours depending on familiarity level. After that, we can launch as soon as you'd like!

I appreciate your time and thank you for choosing to partner with Diocesan. If you have any questions or changes at any point, please don't hesitate to reply to this email or give us a call.

Thanks,

Daniel Shamburger

HI Daniel,
I hope you had a blessed Christmas and happy new year to you! I wanted to check in and see if we are still on track for receiving a link to the development site next week, Jan. 15-19. Also, if you could please give me a general idea of the timing to live launch after receiving the development link, that would be great, as our Pastor inquired about it again this morning. Thanks so much and enjoy your day!

Hi Heather,

I did, thank you! I hope you've enjoyed the holiday season as well. Yes, we'll be sending you the link to the development site next week, Jan. 15-19.

Is there a particular day the following week you're available to schedule the training? Between Veronica and myself we should be able to make any day work. From there, I'd estimate 1-6 weeks to launch date, depending on how much time you'd like to review content.

Thanks, and we'll be in touch soon.

Hi Daniel,
Thanks so much for your reply. We are very excited to see the site next week! We would like to schedule training on Wednesday, Jan. 24, please- either at 10 am or 1 pm EST- we would very much like to go to 12:10 Mass if at all possible ☺ Let me know if that works for you and which time is better and then I can send out invites to staff that needs to be present. Thanks again and have a great weekend!

Hi Daniel,
Thanks so much! I will send out invites today. I will get back to you for the best number- we are going to hold the training in our Banquet Room, which has drop down screens, so that as many people can see as possible. I’m assuming that we will just hook up a laptop and you guys will “drive.” I just need to figure out if the phone that is in the Banquet Room will hook up to the sound system or if I need to figure out a different solution. I will get with our IT dept today and get you a number asap.

Hi Daniel,
It’s close of business Friday and we have not received the link to the development site that wasscheduled to be delivered the week of Jan. 15-19, nor did we receive a reply to the email sent earlier today asking for assurance that the link would be delivered on time, as promised. Please advise when it will be sent. We have training scheduled for Wednesday, as you know, and really needed the weekend to be able to go through the site and be familiar with it before the start of the new work week.

Hi Heather,

Thanks for touching base. Here's the link to the development site: http://stmatthew.diocesanweb.com/

As it is a work in progress there are a few items I'll be working on early next week and have ready for the training - namely the homepage calendar, media center, and partner links, as well as the inner page sidebar.

Please feel free to look over the site at your convenience and make note of any questions or updates.

Have a great weekend and I look forward our meeting next Wednesday,

Daniel,

The website is looking great and we are excited. For tomorrow, please call us at 704.575.1974. If this changes, I will email you asap. A few observations/questions about the website below, recognizing that it is still in development:

1. Home page, slogan “Connected in Christ, moved by the Spirit”- Connected is misspelled

2. Same slogan referenced above- the font changed from the one in the approved design- it is much too “curly”

3. The color used for links is too light- please darken it, and if it can change when you hover over the link to the maroon or burgundy used on the site, that would be great

4. We need to remove the Pastor’s message and picture under About Us and Join the Parish- if this is something we can learn to do tomorrow, we will take care of it

5. Bottom pic on home page cuts Jesus off at waist- can we bump it up so that we either see the whole crucifx or the top half? If we can’t adjust that particular picture, is that something we can change down the road with a new picture?

6. Father Pat’s picture on the home page needs to be adjusted- it’s too squished to the side. We have a square version of the picture we can place in dropbox that may fit better in the space.

7. For training tomorrow, can we do the “how to update individual ministry pages” section toward the end? We don’t want all staff who will be taking part in that training to sit through training that doesn’t pertain to them. If so, approx. how long after we begin should they come in?

8. How long do you anticipate training to last?

Thanks,
Heather

Hi Heather,

Great to hear! Thanks for the phone number.

1. Whoops! I've fixed this.

2. This was something I wanted to talk over. Is this slogan fairly permanent? If so, we can use an image of the exact font. If you'd like it to be editable in the Dashboard in the future, we'll need to find a similar one that is web-friendly from https://fonts.google.com/.

3. Will do.

4. Yes, content edits like this are something you'll be able to do after tomorrow.

5. Let's discuss this tomorrow. We can adjust the image, but also, keep in mind that the size of this area is dynamic, depending on the screen size and device, so different parts of the image display depending on those variables.

6. Ok, we can certainly update that photo.

7. I wonder if it might be easier to approach that first. Then they'd be free to leave while we discuss other parts of the site that don't necessarily pertain to them.

8. Depending on everybody's familiarity levels and number of questions etc., we estimate 90 mins to 2 hours.

Talk to you soon,

Daniel
FROM THE CLIENT Heather King, St. Matthew Staff
Thanks so much! We will pick a font for the slogan and get it to you asap- and yes, we would like it editable in the future- thanks. One more question- the people I had referenced in question 7 have, up to this point, had no involvement whatsoever with the website but will now be responsible for updating their pages. Is today’s training appropriate for them, or would it maybe be better for it to just be our communications staff, then we can teach them later? Just would like your opinion. Thank you! Looking forward to talking to you this afternoon.

You're welcome! Great - we can talk through the font choice this afternoon as well. Good question - For today's training, it may actually work better to meet with the communication staff only, then you can show the ministry editors what they'll need to know later on. We can always schedule a follow-up training with them too if needed. Looking forward to talking to you this afternoon as well,

Daniel

Perfect, thank you. We will just have our communications team in training today, then. Just an FYI, I have asked our team to not address any design/style questions/issues at today’s training, so that the focus will be on the “how-to’s”- we’ve got a team of 5 with varying opinions and I don’t want today to go off the rails ☺ Talk soon!

Hi Daniel,
It was such a pleasure speaking with you yesterday and we appreciate your thoroughness, patience and knowledge as you lead us through the new website. Following up on yesterday, here are just a few items:

1. If at all possible, we would like the “Connected in Christ…” moved over to the left just a skosh

2. The font we have chosen for the above mentioned logo is Cormorant Upright from Google fonts. This will enable the slogan to not be just a photo, but be changeable, correct?

3. For the additional access we will need for the site, please see below. If you have to enter a password for them, just do 8015faithformation, 8015youthministry, and 8015adultfaithformation, with their access limited to their pages and the ability to create posts for their pages.

a. Diane Kiradjieff, dkiradjieff@stmatthewcatholic.org<mailto:dkiradjieff@stmatthewcatholic.org> for Faith Formation

b. Adrian Quintero, aquintero@stmatthewcatholic.org<mailto:aquintero@stmatthewcatholic.org> for Youth Ministry

c. Judy Stumbo, jstumbo@stmatthewcatholic.org<mailto:jstumbo@stmatthewcatholic.org> for Adult Faith Formation

4. Line up Father Pat’s picture on the home screen within the parameters of the rest of the website, please, if not already done. Thanks!

Hi Heather,

It was great to meet you and the team as well!

1. Is this so that the text does not interfere with the image? Rather than move the text outside the common width of the rest of the page, we could actually crop the right side of the image, moving it to the right. (This is another scenario that the exact ratio and parts of the image that display can vary a little bit depending on the user's window and screen) Just let me know if that works.

2. Perfect, I'll use that font. And yes, this enables us to use text fields that you're able to change at any time.

3. Thanks, we'll get those users set up.

4. Will do.

Thanks, you as well!

Hi Daniel,
I hope you're having a good week. I have a quick question about the website. Are we able to make "hidden" pages that are only accessible if you know the address? For example, our Vacation Bible School registration typically involves giving out a hidden website page as a step in the registration process, accessible only when you come in to the office and turn in your first part of your registration and are handed the address. This year it would need to look like: www.stmatthewcatholic.org/moe<http://www.stmatthewcatholic.org/moe> and www.stmatthewcatholic.org/beacon<http://www.stmatthewcatholic.org/beacon>. When you get a chance, can you let me know if that is something we can do with the new site, and if so, would I designate it as password protected or private when creating the page? Thanks so much.

Hi Heather,

I am, thanks, hope you are also! The two links you sent are leading to 404: Not Found errors, but yes, setting up hidden pages is quite easy with Wordpress. You'll just want to designate it as "Visibility: Password Protected". Here's an article with more details on password protected pages: https://codex.wordpress.org/Using_Password_Protection.

Hey Daniel,
Hope you’re having a happy day! I’ve got a couple of questions that I tried to solve for myself and am just stuck. It’s not a big rush to get back to me, just when you have time. Thanks in advance!

· I created a new page today but can’t figure out where it published. Can you help me figure it out? I tried to put it here: Reserve a Room/Schedule An Event<http://stmatthew.diocesanweb.com/reserve-a-roomschedule-an-event/>.

· Once you figure out where the page went, could you please tell me where I went wrong/how to actually get the page where I wanted it?

· The form I created that is tied to the page I made- I would like to know how to make sure when the form is submitted, it goes to a specific person. I tried to set it up to go to Erin Dunne at erind@stmatthewcatholic.org<mailto:erind@stmatthewcatholic.org>,. Could you maybe just take a look at our form and make sure the way I set up notifications and/or responses is correct?

· The page titles that run across the header pictures on each page are now maroon or burgundy- can they please got back to white?

I am so sorry to bother you with these, and like I said, no rush in getting back to me. Thank you again!

I'm not sure where your page may have ended up... So sorry for the many emails. I wanted to follow up on one of the requests I sent earlier this week. I had asked that the page titles be returned to white font. You can just ignore this request, as I think we are going to take away page titles for the time being. Hi Heather,

The screenshot does help! The published page is here: http://stmatthew.diocesanweb.com/faq/reserve-a-roomschedule-an-event/st-matthew-catholic-church-room-request/ Does that load for you? The form looks ok, but I've edited a few settings in the email notification to Erin Dunne. I'll attach a screenshot.
Let me know if you have any questions about those settings, or if she's not receiving the email notification. I set it to my email temporarily, and it seemed to work.

Yes, we can do an abbreviated training with some of the other staff. Thursday (2/22) works for me. What time works well for everybody?

Regarding the page title colors, they should still be white, but I did notice the 404 "not found" page was showing up in burgundy, so I'll make sure to adjust that. Could you elaborate on your thoughts on removing page titles? There is an option in the toolbar to adjust font color in page text (see screenshot below), but we generally advise against using it unless absolutely necessary in order to keep the fonts and colors flowing throughout the site - headings are matching burgundy, text is near-black, links are tan, etc. Different sizes and weights (bold) are encouraged!

No worries about the emails! If any of this is easier to discuss over the phone, don't hesitate to give us a call.

And no changes to font colors, thank you- our only request is if, when you “hover” over a link, could the color of the link change from the gold/beige to maroon or the blue from the website, for ease of viewing? Hi Daniel,
Our IT guy, John Poteat, has asked that you contact him about the domain. His email is helpdesk@stmatthewcatholic.org<mailto:helpdesk@stmatthewcatholic.org>. I have a couple of questions for you. First, on the link to our daily Mass readings, when you click on it, it’s just one giant paragraph with no breaks. I’d love for it to display like this: http://stepncatholic.org/daily-readings/. It’s a website you guys made, so I didn’t know if maybe you could go in and look at the code for that? Could you let me know if this is something we can do, and if not, what are some other solutions so that the readings are in a more easy-to-read configuration. Second, would it be too much work for you to add one last section- on the Young Adult Ministries page, could we add the section that allows us to have three posts for upcoming events like we have on the homepage, youth ministry, faith formation for children and adult faith formation? Thanks, and I truly cannot thank you enough for your kindness and help in dealing with me through this process.

I am so sorry to keep emailing you today- I think everyone around here finally caught on that the website is really launching soon and have decided to actually answer one of the 800 million emails I have sent, asking them to finalize their request for the new site with me. Hopefully this is the last last kind of big thing. Faith Formation would like to do away with the Faith Formation for Children page and only have the Faith Formation page- all of it can go except the posts section, but I don’t know how to move their posts section from that page on to the Faith Formation page- can you please do that for me? Or tell me what I need to do? Also, they would like to have their calendar on the Faith Formation page, in the same format as the one on the youth ministry page and the homepage. Their calendar is already in the calendar section of the website, so is that also something you can do? Good morning Daniel!
Happy Tuesday :) I just wanted to follow up on a few things and ask a couple of more questions. I will list them below so that they are easier to see where ends and another starts.

1. Just making sure re-formatting the daily Mass readings is still on your list of to-dos, like this example: http://stepncatholic.org/daily-readings/

2. Also making sure we are adding the three post news section to Young Adult Ministries

3. Also making sure that this is being taken care of: Faith Formation would like to do away with the Faith Formation for Children page and only have the Faith Formation page- all of it can go except the posts section, but I don't know how to move their posts section from that page on to the Faith Formation page

4. Following up that the calendar on the Faith Formation page will be formatted to display as it does on the Youth Ministry page

5. Can we please add the "full calendar" button to the Faith Formation and Youth Ministry calendars like it is on the homepage

6. Can we please add the "more news" link to the three post sections on Faith Formation, Young Adult Ministry and Youth Ministry pages as it is on the homepage

7. Is there a way for you to send us the theme colors for the website so that if we are building PDF's or other things that will be linked from the website it will have a consistent appearance

8. Is there a way to set the timing for videos to populate to the MatTv section of the website and do we have the ability to not publish certain videos even if they are on our YouTube channel?

Thank you in advance for your help and response with/to these items. I hope you have a great day and know, as always, how very much I appreciate all that you are doing to make our new website a beautiful tool for our parish family.
Peace,
Heather

Hi Heather!

Items 1-6 are in progress. :)

Certainly! First, the logo is in 'Work Sans' weight 500. (Available on Google Fonts) Here are the colors used throughout the site:
Blue: #084378
Burgundy: #8b1b16
Gold/tan: #bca682

Lastly, the "Pro" version of the plugin we're using to display the YouTube videos allows restricting feeds to certain YouTube playlist. Full details of what's available in the Pro option available here: https://plugin.builders/yourchannel/ It is $15 for a single site license. Let us know if you'd like to go that route.

Thanks!

Hi Heather,

John made the update to the domain this morning, and I'm monitoring the propagation here: https://www.whatsmydns.net/#A/stmatthewcatholic.org.
It looks like at the time of writing, a few Internet service providers are showing domain is pointing to our server, but this should be universal by the end of the day. i.e. Anywhere stmatthewcatholic.org is visited from, the new website will be shown. :)

A few things I want to follow up with:
  1. Would you still like buttons in the myParish App setup to display post feeds from the live website? I think we discussed "News", "Adult Faith Formation", and "Children Faith Formation".
  2. Do you have a Constant Contact signup form for the footer? If not, I can just remove the "Newsletter" area for now.
Thanks,
Daniel

Hi Daniel,
Thanks so much! It looks great. I would love for the myParish App to post feeds from the live website and the categories you have are perfect. If we could also add Young Adult Ministries, that would be great. And we can remove the newsletter area for now.

Question: are you guys working on the website today? When I went on this morning, there were 2 broken links and now, without anyone really doing much here, there are 33 broken links. Just wasn’t sure what was causing this?

Thanks so much for everything and I hope you have a good weekend!

Hi Heather,

You're welcome! Great, I'll send those to the myParish App department and get the buttons added.

Hmm, I don't think any of us were working on the site Saturday. When I logged in this morning, I'm only seeing 2 broken links. Did you fix the others?

Hope you had a great weekend!

Daniel
FROM THE CLIENT Heather King, St. Matthew Staff
Hi Daniel,
Thank you! And I’m very glad to hear no one there was working over the weekend- that is the worst ☺ I did fix the broken links, so yay! Just a couple of questions.

1. It’s taking a super long time (5-6 hours) for videos from youtube to show up on the website under the MatTv button. Is there anything we can do on our end to speed that up?

2. It doesn’t matter what you put in the search bar, it never returns any results- help! Please ☺

3. We have a priest that runs his own Word Press site and he said he paid a fee to upgrade to a function that allows him to edit right on the webpage, without having to go to the edit page? I don’t see that this is a big benefit but I was asked to ask you about it.

4. We have been asked if the featured image on a page can be a slideshow or video footage? Didn’t know if it was possible but once again, was asked to ask you ☺
Thank you again so much for everything. We have received great feedback and we all LOVE the new site. I really can’t thank you enough. Enjoy your Tuesday!

Heather

Hi Heather,

Oh, ok, great!

  1. The default cache refresh interval (amount of time the site stores the videos before checking your channel for new videos) is 180 minutes (3 hours). We decrease this to 60 minutes if you'd like the videos to show up faster.
  2. I had installed a plugin that was supposed to help with search accuracy but had actually broken it. This should be fixed - sorry about that!
  3. There are various paid WordPress plugins that allow "front-end editing" functionality. The main benefit would just be the capability to see the content within the page, including the header, footer, etc. If this is something you'd like, we can help set something up.
  4. As it is currently set up, this area is made for images only. While it is possible to set, it's outside the original design, so we'd need to charge a support fee for the time, and there are a few reasons we may not want to: It's made to add to the look and feel of the page, while not distracting from the logo, navigation menu, page title, and the page content itself. Also, the background image fills the width of the window, which is relative to the device, which means part of the video may be cropped or shown letterboxed with a solid-color background. That being said, there are examples where professionally produced videos can be very effective in similar areas, such as the Diocese of Venice homepage we recently published: http://dioceseofvenice.org/. I hope that helps!
  5. On the topic of the featured images, I was browsing around the site and noticed a few pages with lighter images that aren't using the grey overlay, so I just wanted to remind you of the option. The attached images are an example of a page where it's a little difficult to see the page title and menu, but the overlay makes it much more usable.

I'm so glad to hear all the positive feedback! You're very welcome.

Daniel
FROM THE CLIENT Heather King, St. Matthew Staff
Hi again,
Thanks so much for your quick reply. Yes, if you will decrease the cache refresh intervals to 60 minutes, that would be perfect. And thanks for fixing the search feature ☺. We will meet as a team after Easter and discuss the possibly addition of “front –editing” functionality and the possibility of adding the ability to have moving images as featured images (it wouldn’t be on the homepage- it’s youth ministry that is asking about it). And I agree about the grey overlay, but I’ve been out-voted- blah. Thanks again for everything and I will be in touch toward the end of next week, baring anything crazy happening. Have a happy Easter, or happy Passover, and/or Happy Spring!

After talking to our team, we would like a quote to add the ability to have video as our featured image on several pages. We'd also like to see if it's possible to have a slideshow of images as the featured image on the same pages, and receive a quote for that as well. We would want capability for both on the homepage, youth ministry page, faith formation page, young adult ministry page and adult faith formation page. Just let me know the estimate, your thoughts, etc when you get time. Thanks in advance for your help. Enjoy your day!

Hi Daniel,
I want to thank you so much for getting the news posts from the website on to the app. Our faith formation for children and youth ministry teams were wondering if they can have their own buttons for their separate feeds, instead of combining into one (they are both currently combined under Child Formation)? And they would like them entitled either "Children's Ministry" or if that is too long, then "Kid Ministry" and then also "Youth Ministry". Let me know if this is something you pass on to the app developers or if you need me to reach out to them, and who I need to reach out to. Thank you so much!

Heather

Hi Heather,

The buttons in myParish App are subscribed to feeds generated by categories on the website. To create separate buttons on the app, two separate categories will need to be created first. If you'd still like both of those to show up in the same page on the site, two category values can be separated by commas, like this:
category="category1, category2"
Once those two categories are created, I can forward the info to the myParish App Dept. and have them create the new buttons.

Regarding adding video functionality to the featured image area, I'd estimate 3-4 hours at our discounted rate for current clients of $50/hr. Just keep in mind that a video this area will be a semi-abstract background, automatically looping, silent, and should be optimized to as a small file as possible to minimize the effect on page load time. Any videos that are meant for the user to deliberately watch (App instructional video you have here, for example: https://stmatthewcatholic.org/st-matthew-mobile-app/ ...great video by the way, love it!) are better suited within the page content.

Thanks!
Daniel

Hi Daniel,
Thanks so much for your reply. I thought faith formation and youth ministry had their own news feeds, but maybe they decided to combine them? I’ll meet with them and ask, then we can go from there. Once we have an answer, we’d like a kids ministry button that will pull from the faith formation news feed and a youth ministry button that will pull from the youth ministry feed, then just keep the adult formation and young adult buttons as-is.

We would like to go ahead and have you build the video and slideshow capability into the homepage of the site, as well as on the faith formation page, the youth ministry page, the adult faith formation page and the young adult ministry page. Our videographer knows and understands the parameters of acceptable video for this and the staff is excited to be able to loop background of things on their pages. Please let me know if this is something Diocesan can invoice us for, if we need to sign a contract, or if we need to pay upfront. Thanks so much!

Heather

Hi Heather,

My apologies, I think I misunderstood your category differentiation regarding "kids" and "youth". Attached is a screenshot of the current categories:

So the buttons you'd like would be (replacing "Child Formation"):
  • "Children's Ministry" subscribed to Children Faith Formation category.
  • "Youth Ministry" subscribed to Youth Ministry category.
If this is correct, I'll go ahead and send the changes to the myParish App team.

Ok! This is something we can invoice for upon completion. I'm in the middle of a few different projects this week, but I should have time towards the end of next week to get this added.

Thanks,

Perfect- so everything will stay the same on the website, name-wise, and we will have to following buttons on the app:
Adult faith formation (pulling from the adult faith formation news feed)
Kids Ministry (pulling from the children faith formation news feed)
Youth Ministry (pulling from the youth ministry news feed)
Young Adult (pulling from the young adult ministry news feed)
And thanks so much for building in the video function sometime next week. I hope you have a great weekend!

The post expiration function is still there, but up at the top where it shows the status of the post, until last week you could go in and manipulate the post date so you could adjust where it shows up in your series of posts. I think your computer may have the pre-changes stylesheet cached, so I've incremented the version number of the theme, which should "force" a refresh of the whole stylesheet, which should included the updated video ratio styles. In short, if you refresh the page with the video, it should be displaying nicer. :) (but if not, let me know)

Hi Daniel!
I hope you are doing well and enjoying your summer. Quick question for you. Is there any way to have shorter/custom web addresses for certain things on our site? For example, https://stmatthewcatholic.org/st-matthew-youniversity-catalog/ on our old site we could advertise it as www.stmatthewcatholic.org/smu and it would redirect to the long form address above. It works for some things on this site, for example, if I type in www.stmatthewcatholic.org/crhp it will take me to https://stmatthewcatholic.org/faith-formation/adult/crhp/ without having to type in all of that other "stuff". We'd like to be able to use the shortened form for lots of different things, but can't really, in our tech un-saviness, figure out why it works for some things and not for others. Can you let me know how to make it work for whatever we need it to, or what the secret is? Thanks so much!

Hi Heather,

Thanks, I hope you're enjoying your summer as well!

When editing any page, underneath the title you can edit the permalink, as seen here:

In your second example, however, the page is not a top-level page. The parent structure defines the URL of such pages, so you're only able to edit the final /___/ part. There is a plugin, however, that allows editing the full URL after the domain name. Let me know if you think you'll need that.

Hope that helps!
