Website Proposal

Good afternoon Char,

I apologize for the delay, but we have the proposal finalized.  You will notice there is a website credit that has been applied for you.

After you review the proposal, let me know if you have any questions.

Thank you!

Good morning Char,

I wanted to follow up with the price quote I sent to you for the new parish website.  It has been a couple of months and I was wondering if you had any feedback at this point.

If you would like, we can schedule a brief phone conversation and go over any additional information you need, or if you have any questions.

Let me know a time that works best for you.

Thank you!

Hi Alan,

I’m not sure where we left off. I never received the revised quote, but I definitely want to move

forward. Can you please email the quote?

Do you have any of the initial communications and notes from Nathalie Shultz, who I worked with

starting back in June? We had discussed what our goals were with the website and I even gave her

my likes about websites that Diocesan had already completed.

I’m hoping we don’t have to start from scratch.

Thank you,

Good afternoon Char,

The good news is that we definitely do not have to start over.  I have kept all of the notes that Natalie saved before she left, and that is what I used to generate my price quote for you.

Attached is a copy of the price quote for you.  If you have any questions, do not hesitate to reach out to me.  Also, if you want to schedule a brief phone conversation to go over the quote, we can certainly arrange a time.

Thank you!

Based on the quote and the conversations I’ve had with Andy (I think that’s his name), the only thing we will be responsible for is the annual fee.

We probably should schedule a call to go over the quote. I’m not available until tomorrow after 11am.

I’m out of the office in the morning and right now I’m in the middle of a project and trying to finish this weekend’s bulletin.

Thank you,

Good afternoon Char,

I was able to speak with Andy regarding the price quote.  He let me know that there was the addition of 2 years of the printing credit ($1,500/year) that would be allocated to the website.  This creates an additional credit of $3,000 for the new website.

The attached quote was created based on previous discussions and the mockup for St. Catherine of Siena.

Let me know if you have any questions.

I apologize that I did not include a link to the mockup for St. Catherine of Siena in Orange Park.  Below is the link to that mockup.  Feel free to share this with Father, or anyone else that would be part of the project.

merge into one. Do you have any notes that indicated the different websites that I

liked?

Char,

You are correct, there are some elements that will be updated and changed in order to reflect your content and branding.

After the proposal is signed and we get to the design stage one of our designers will reach out to you.  During this conversation, all of the notes will be discussed and incorporated into the new design.

I apologize for any confusion.

Good morning Char,

I hope everything is going well during this unique time.

Back around the beginning of December, I sent a price proposal for your new website.  It has been a few months and I wanted to reach out so you know I haven't forgotten about you.

Do you have any questions regarding the proposal I sent over to you?  If you would rather discuss the proposal over the phone, let me know when you would be available.

Don't hesitate to reach out with any questions or updates.

Hi Alan,

Thanks for reaching out. I wasn’t sure where we left things.

I do have a few questions:

Can we leave our emails with GoDaddy?

We initially signed with GoDaddy Website builder and they charged us $299 for 5 years,

after the 5 years, we’ve been charged only $145 a year. Is the $300 you are charging, every single year? That seems high.
TO THE CLIENT Alan Snodgrass, Diocesan
Hi Char,

I wanted to make sure we both on the same page.

Google makes their G Suite available to nonprofits free of charge following an approval process.  Diocesan offers to take the lead on this process as it is fairly lengthy and involved.  We charge a one-time setup fee of $350 which covers the approval process and initializing your account.  Once you are set up, you will have the entire GSuite offering at no annual fee.

After we build and launch your website, we would host the website on our server.  This way we maintain security updates, and monitoring of your website.  Our annual hosting fee for your website would be $300 each year.

Does GoDaddy host both your email and current website?

Yes, GoDaddy hosts both website and email.

Will we be able to keep our email addresses as they are without interruption?

What is included in G Suite?

Do you have any of the initial consultation notes that I had with the previous girl that worked with me on this?
TO THE CLIENT Alan Snodgrass, Diocesan
Hi Char,

You have asked really great questions.

G Suite includes Gmail, Google Drive, Google Calendar, and Google Docs amongst other offerings.  This is normally a paid offering, but Google offers this free of charge for nonprofits following an approval process.  The $350 is for Diocesan to set up your G Suite, and take the lead on the approval process.

Also, you would be able to keep your existing email addresses.  I am including a link that discusses G Suite and all of the offerings.
https://blog.hubspot.com/marketing/google-suite

I was able to look through the notes regarding your new website.  The notes included the goals you have for your new website, along with likes and dislikes about your current site.  We also showed you the websites of Sacred Heart in Southport and Catherine of Sienna, which you really liked.  Your proposal was created using all of this information.

Let me know if you have any questions.

Alan,

Thank you for answering all of my questions.

Can we move forward? What do you need from me?

Thank you, Char
TO THE CLIENT Alan Snodgrass, Diocesan
Hi Char,

Thank you very much for getting back to me and choosing Diocesan to create your new website!

There is a little bit of information that I would like to confirm with you.

1) Will you be going forward with G Suite?  I did want to note that when switching email servers there could be minor downtime as everything switches over.  Diocesan will work with you to determine the best time to make that switch in order to limit any sort of disturbance.  Let me know if you would like to go forward with Diocesan setting up your G Suite.

2) Would you be utilizing Diocesan to host the new website and your domain (stmarytampa.org/)?  We can have everything bundled together so you would have one hosting payment and all in one place.  The annual charge for your domain name (stmarytampa.org) would be $15 and the website hosting is $300.  You would have one, annual payment of $315 and all of your hosting needs would be taken care of.  Let me know if we would be hosting both the new website and your domain name, or just the new website.

3) The last item I would need is a signed proposal.  If you wish to move forward with the current proposal, you can just sign and email it back to me.  If I need to adjust the G Suite and hosting offerings, let me know and I will update the proposal accordingly for you to sign and return.

We look forward to building your new website!

Alan,

What are my options if we didn’t go with G-Suite and didn’t have Diocesan host?

I’m just asking every question I can to get the full scope of this project.

Thank you, Char
TO THE CLIENT Alan Snodgrass, Diocesan
Hi Char,

You ask a couple of great questions.  I understand that you want to know the full scope of the project because the website is a very important communication piece for the parish.

If you do not want to pursue G Suite at this time, that is perfectly fine.  This is something you can pursue at a later date or not at all.  The cost of G Suite setup is $350.

You are able to host your website and domain with another company with no penalty.  However, Diocesan would only be able to offer help and support for any issues that involve the design of the website.  If there are any issues related to security, backups, site not loading properly, registry, etc., you would need to direct these issues to the website hosting company directly.
The cost of Diocesan hosting is $25/month, billed annually.

Let me know if you would like me to make any adjustments to the proposal and I can email you an updated version.

Thank you!

I think we’d like to keep our email with GoDaddy. However, we will go with Diocesan to host and renew the domain.

Please email me a revised proposal today if you can, so I can get it signed and we can move forward. By the way, what are the chances of this website being completed before the end of the year?

Thanks, Char

Alan,

I noticed that there was no change in the proposal without the G-Suite.

Can you give me the pros/cons if we changed from GoDaddy to G-Suite?

I looked at your link about G-Suite and it include Gmail, Drive, Docs, Sheets, Slides, Forms, Calendar, Google+, Sites, Hangouts, and Keep.

Right now we already have Gmail, Drive, Docs. How will these other things be beneficial to us?

Thank you, Char
TO THE CLIENT Alan Snodgrass, Diocesan
Hi Char,

If everyone already has personal Gmail accounts, then there is no real advantage. The main difference would be that G Suite allows both your emails ending in the "stmarytampa.org" and the Google products to be connected in a single account rather than having to switch back and forth between accounts.

Alternatively, if your GoDaddy emails (stmarytampa.org) are already set up with G Suite, then you will not need to continue using GoDaddy at all. If that is the case, the emails are not actually set up with GoDaddy, but with Google, which uses the domain (MX records) which would be migrated to Diocesan.

On the updated proposal, I removed the line item for the G Suite offering.  The final cost does reflect the removal of the $350 set up fee.  Diocesan would only charge a one time set up fee to establish your G Suite offering.  Going forward there would be no additional fees through Diocesan or G Suite.

Thank you!

One more question, the 5gb of online storage and the 20gb of bandwidth. Examples of what the online storage would be used for?

Is the bandwidth what determines the speed in which the website loads?
TO THE CLIENT Alan Snodgrass, Diocesan
Hi Char,

Your online storage is essentially anything on your website that is not text.  This includes all media files, so uploaded PDFs, images, videos, and audio files. Any embedded files (YouTube, SoundCloud, etc.) are not uploaded to the website and, therefore, do not impact your storage space. To help with storage space, Diocesan runs nightly scripts to compress any image files larger than a computer can support (2040px by 2040px).

I found a really helpful way to describe bandwidth.  Bandwidth can be compared to water flowing through a pipe. Bandwidth would be the rate at which water (data) flows through the pipe (connection) under various circumstances. Instead of bits per second, we might measure gallons per minute. The amount of water that possibly can flow through the pipe represents the maximum bandwidth, while the amount of water that is currently flowing through the pipe represents the current bandwidth.

Let me know if you have any other questions.

Thank you!

Awesome descriptive of the bandwidth. Thank you.

Will I be trained how to update the website after it’s been completed?

Would you understand why GoDaddy would only charge us initially $299 for 5 years for hosting,

then only $143 yearly thereafter? Is this because we built our own website?
FROM THE CLIENT Char, Mary Staff in Tampa
Also, can you tell me is we started this today, would our website be complete by the end of the year or sooner?
TO THE CLIENT Alan Snodgrass, Diocesan
Hi Char,

The average website takes 6-8 months, but this will also depend on how quickly you are able to respond throughout the design, content, and training phases.

Unfortunately, I am not able to speak to how GoDaddy bills their hosting platform.
