Good afternoon Char,
As a part of your website package, you requested Diocesan set up G Suite for you.
To begin this, there are a couple of things that we need before creating your new gSuite:
- St. Mary Catholic Church's Tax EIN - FEDERAL ONLY
- St. Mary Catholic Church's 501(c)(3) Group Exemption Letter - FEDERAL ONLY
- The IRS Determination letter to the USCCB referencing the group exemption
- The cover page of the Official Catholic Directory
- The page in the directory on which St. Mary Catholic Church appears.
- List of Accounts to be Moved/Created (please complete and return attached spreadsheet)

Hello Char,
Right now, you are using GoDaddy as an email client, but switching over to GSuite would make it so that managing your email inbox is just like using Gmail.
In the initial consultation for this project and with the proposal, we had this project quoted and signed off on under the name "Email Development using Google for Non-Profit" (attached below), but this is done through GSuite. This also makes it so that your email accounts have access to Google Calendar as well as most of the other parts of the Google Suite. You would still keep the same email that you have now, but just accessing it would be slightly different.

Cody is out of the office until Monday but here are the costs for hosting and G Suite setup:
Website Hosting is $25 per month, billed annually at $300.
Hosting of website on Diocesan servers includes:
- Daily backups and off-site weekly backups
- Site maintenance and updates
- Free security suite of tools ($80 per year value)
- 5GB online storage
- 20GB monthly bandwidth.
Google Workspace (formerly named G Suite) setup is a flat-rate cost of $350, which includes:
- Creating Google Workspace account
- Connecting Google Workspace to your domain
- Upgrading to Google for NonProfits
- Creating email & initializing accounts
- User admin training session (~1hr)
Once set up, there is no additional cost to Google for NonProfits nor any annual fee to be paid to Diocesan. Additional support and training may be subject to cost.

In the meantime, I have gotten a notice from GoDaddy that the SSL renewal is coming up and they would be auto renewing it. Is this something you guys are taking over? How should I handle this?

Yes, when the new website launches we will transfer the domain to us, at the same time the website hosting and the SSL will be through us too. Once the GSuite process is completed the email will be through Google, but managed through us as well.

User Admin privileges just means that the person can add new users and change/reset passwords, so if want a backup or something you can do it there. People can be added as admins (full or user) later too.

Regarding the Account Spreadsheet, can I just put my Alternate Email address for most of the emails for now and then change them later?

We have reached out to our Diocese of St. Petersburg contacts to hopefully get a copy of the Official Catholic Directory listing so we can start the GSuite process. They said that they sent it over to you yesterday, so if you could please send that over, so we have a copy to start the process.
As for the Alternate Emails, you can do that, but since they would be live accounts once they are created people would need access to it pretty quickly I would think, but you could change the passwords and things and tell them their login information.
Normally, the GSuite process is a 14-day ordeal because of the setup and the nonprofit, domain, and other verification processes involved. Those 14-days would be until the Google for Nonprofits status is active, but you would have working GSuite emails within an hour or two of starting the process. (Login via https://gmail.com)
Lastly, since your emails already use your domain, switching from one service to another may cause an hour or so of email downtime when the switch happens. Meaning no emails in or out for around an hour. At what time of day should this change occur to have the smallest amount of impact, e.g. evening, early morning.

Thank you for sending that information! I will start it after 5pm on Friday. On Monday, they should have a link in their alternative email (probably two since I will renew them on Sunday since the links only last for 48 hours) and they can follow that link to reset their password and access their email. After that, they can just go to gmail.com and login there.

I think we need to wait until I talk to my IT guys about this email conversion. Some of the emails are attached to our printers, everything is through Outlook, and many of us have our emails on our phones and other devices.

That is a very good idea! There would be a change in the way things are done with most of those and I don't know the exact extent to which things would be effected, but your IT guys would most likely know more about everything that would change.

Hello Char,
The only thing that we would be migrating in regard to emails are the email addresses themselves. All the contact lists, emails in the account, attachments, etc. would have to be done prior to the domain switching services (i.e. Outlook to GSuite). The backup would have to be as close as possible to the actual switch to prevent as much loss as possible.
This would be rather risky and would require very little, if any, margin of error, and domain email records are not known for their swift response. If we were switching to another domain i.e. moving your email from char@stmarytampa.org to char@saintmarytampa.org (two different domains here), this would be okay because you'd have some room to back up the emails and start forwarding emails to the new email, but since it is using the same domain, this could mean loss.
I could send you some references on how to back up the data, but I don't think it would be worth switching, both from everything you've said already and from this point of view as well.

We don't migrate anything other than the email address because it would open us up to too much liability. We would need access to all email accounts (privacy issues there), and if there was anything lost in the process we would be liable for it.
We do this GSuite process for parishes switching domains or setting up emails for the first time, so migration has never been necessary.

With this in mind, we do not want to launch until the emails are migrated and set in place.
How much time do you need for the launch? I have scheduled one more meeting with my pastor to look through the website one more time to see if he wants to make any changes.

- I have edited the staff page so that there is no longer a comma but a dash.

I would recommend keeping the contact information there for the user, but I don't know the circumstances.

For the staff, I have done a pretty quick solution that I think will eliminate the extension issue and line up the emails better. As for the staff names lining up, I think it is the font that makes it look like that, but they are lined up as seen in the image below.

If you do not want the big Ministry Contact heading, you can take off the contact for that ministry in the backend of it by removing it from the bottom bar.

Since it is starting on page 1 out of 4, it is 25% and the fourth page would show 100% because it tracks the page progress, not necessarily the amount of progress in the fields. If you would like, I can take the Pages off there, which will, in turn, get rid of the progress bar.

When the site launches, Diocesan will be issuing the SSL Certificate for the site. I am not sure when GoDaddy has it set to renew, but if we launch tomorrow then we will issue the SSL certificate then.
