Content & Development Progress
Good morning Helen,
I wanted to let you know that one of our developers will begin creating your new website by the end of the week. As they begin and continue working on your site, we will let you know as soon as your website is ready for viewing and training.
In the meantime, we have already gone through your website's current sitemap and created a suggested sitemap with annotations, so that you can get a better idea of how we plan on organizing the flow of your information.
Please feel free to rearrange the menu items and add/reply to comments, as needed:
Click here to view your proposed sitemap.
Here are some other questions that I have for you:
- What calendar will you be using for the "Calendar" area of the homepage?
Most of our clients prefer to use Google Calendar since it works best with our websites and will automatically push updates/additions from Google Calendar to your website automatically. Additionally, it is compatible with myParish App. - Are there any online forms that you'd like us to create?
Some parishes like us to re-create an online version of their website's parish registration form, sacramental inquiry forms, or other short forms for them. If you have any in mind, please send us the PDF version and what email you would like the form entries to go to for each form. - What is your domain login OR who is your domain owner?
When it is time to launch your new website, Diocesan can make the DNS changes for you or send instructions over to your domain owner. Having this information will speed up the launch process when the time comes. - Would you like your Facebook and Twitter feeds to display on the website? If so, please allow https://www.facebook.com/diocesan.web to be an administrator of your Facebook page and send us the Twitter login information.
Let me know if you have any questions for us,
Veronica Alvarado

Hi Veronica,
I have forwarded your email to Ed Scott, who designed and maintains our current website. I feel like he can answer these questions much better than me. Ed is a parishioner, and has a full time job, but I feel like he’ll look at it later today and get back to me/us soon. I’m happy to hear from you!

1. Google Maps should be fine.
2. I think the following would be good starting points for online forms:
- New parishioner/family registration form
- RE registration form
- VBS registration form
3. A company called Computer Spectrum is currently migrating our domains from an old website to our temporary website. We will need to work with them to get the DNS changed.
4. We have not talked about the feeds from Facebook and Twitter displaying on the website. We have only talked about links. My goal would be to keep content consistent across all of the platforms (web, parish app, facebook, twitter). I'm leaning towards only having links, but would like to think more about this.
Thanks,
Ed

Good afternoon Ed & Helen,
Thank you for responding to my message about my questions. Here are my follow-up responses and questions:
- Please share the Google Calendar ID that is being used for your myParish App with us. For instructions on how to make the calendar public, click here. To find the Calendar ID, click here.
- Since your previous website is down, could you please send us the New Parishioner/Family Registration Form, RE Registration Form, and the VBS Registration Form? Feel free to send the PDF or Word document.
- Could you please provide a website and/or contact information for Computer Spectrum?
- Something to consider is using a plugin or software that will allow you to post something once and automatically pushes to both Facebook, Twitter, WordPress, and any other social media accounts. Otherwise, you can simply copy and paste the information to any social media needed.
Thank you,
Veronica Alvarado

1. I'll reach out to the admin for our parish web app and see if they have a google calendar setup.
2. I'm assuming Helen can provide up to date copies of these forms. In addition, it looks like our old website also had the following forms:
*
Stewardship Intention Form
*
Wedding Guidelines & Forms
*
Volunteer Background Form
*
New Member Form
*
Auto Withdrawal Form
*
Photo Release Form
*
Genenric Permission Form
We should get these too.
3. I'm assuming this will be John Jacobs (john@computerspectrum.com (mailto:john@computerspectrum.com)). Helen should verify this.
4. Yes - we specifically asked for this to be included in our initial website during the design phase. We also keep asking for the parish app to have an option to be updated in a similar way - I know its not supported currently, but I'll keep asking :-)
FYI...I'm still reviewing the proposed sitemap - not all the way through it yet.
Thanks,
Ed.

Good morning Ed,
As soon as Helen sends over those forms, we will recreate them as online fillable forms.
As for the social media, we do already have a plugin in place for this, but I misunderstood your earlier email to not display social media. I realize now that I got that backwards. Rather than displaying social media on your site, you want the WordPress posts to push to your social media.
Now that I've got that sorted, could you please allow user https://www.facebook.com/diocesan.web to be an administrator of your Facebook page and send us the Twitter login information.
Since the developer has everything except mobile responsiveness completed, once we have the suggested sitemap, we will be able to move your project along fairly quickly.
Let me know if you have any other questions!

Veronica,
I have sent an email to the person that manages our Facebook page. I'll follow up once that user has been made an administrator.
Do you want me to post the twitter login information (user and password) in this email and be part of basecamp, or is there another way you want it transmitted?
Thanks,
Ed

Attached are our auto withdrawal form and background check forms. I am super excited that we will have fillable forms!!!! As such, will they be able to submit them online, or print and bring into the office, etc.?
I will be sending more forms. As you can expect, we are updating some of them☺

Hello Ed,
Thank you for reaching out to your Facebook manager.
Only Diocesan employees working on your particular website will have access to this Basecamp project, so it will be safe here within this email. If you'd prefer to keep it off the project, you can email the Twitter login information to webdepartment@diocesan.com.

Good morning Helen,
We are excited about online forms too! As a parishioner, we just find them so much easier. No more losing the papers and/or not having time to stop by the office!
So for these forms, they will be able to fill out an online form and it emails a copy to the office OR they can click on the PDF version for print and they bring it into the office/mail/etc. This way, they have the choice of doing what is easiest for them.
When you get the chance, can you send over these forms as well?
- Religious Education Registration Form
- VBS Registration Form
- Stewardship Intention Form
- Wedding Guidelines & Forms
- Volunteer Background Form
- New Member/Parishioner Form
- Photo Release Form
- Generic Permission Form

Thank you for sending this over to us. We will begin setting this up so that it can be ready by training.
We will use the prayer.request@sfxmw.com for the prayer request form and page details.
I know we are still waiting on you to fill out the 3 homepage buttons, but other than that, is the suggested sitemap ready to go?

Veronica,
I’ve sent you the volunteer background form and ACH withdrawal forms already, but let me know if you still need them. Attached are four more. I still owe you the wedding guidelines, new member/parishioner form, and generic permission form.
We had our picnic this past weekend, so trying to play catch up!

Veronica, Here are two more forms for our website. I only owe you the Generic Permission Form (for teens), which I should be able to send you tomorrow. Thanks, Helen

Hi Ed,
I just spoke with Helen and went over the following progress:
- Development site is ready for content, but is still being styled & undergoing usability testing
- Content from your previous site has all been migrated
- Google Calendar from myParish App (Diocesan has requested the calendar from them)
Things we still need from you:
- What will be in the 3 boxes of the Homepage (see image below)
- Any page content that you need us to add
Auto-Publishing of Posts
We also discussed automated Facebook & Twitter posts.
Auto-publishing from your website would mean that you would have to update your Facebook API Access Token every 60 days via Facebook's developer console & API application form. Diocesan could set up the initial API Access Token, but every 60 days after that, it would be up to you to complete or pay the $50/hr support rate for one of our support team members to do it for you.
This is something that Facebook changed in April 2018 for security reasons so only Facebook-approved "Apps" can publish to Facebook.
An alternative solution that we have used for other parishes to post to Facebook and set up Facebook so that it would automatically send the same post to Twitter (something Facebook already supports) and automatically send to the website in the format you see below. This way, you are still only posting in one place and you won't have to renew any API access tokens.
Training
Our developer is working hard to complete all necessary development items in time for a training session early next week. With this in mind, are both of you available on Monday afternoon or Tuesday at any time?
The training session is typically about 2 hours long and is done remotely using Zoom remote meetings, a program that allows multiple users to share screens and conference call.
Please let me know what time works best for you,

I forgot to send the image of the three buttons on the homepage, so here it is, below.
As I mentioned to Helen, these buttons (images + text) can be switched out at any time, so they do not all have to be permanent. An example would be if there were Advent or Lent Mass Times in which you want to have a button that goes directly to the Holy Day Mass times.
Let me know if you have any questions,

Thanks,

Hi Ed,
I completely forgot that July 4th was already next week! Wow, time flies.
Did we want to schedule the first training session for Tuesday, July 9th? My schedule is clear for the day.
I know we are trying to push the launch of the website, but I do want to let you know that there is a required minimum of 2 weeks between the first training session and launching your new website. This allows you at least two weeks to practice editing the website and get free support before it goes live. After launch, there are another 2 weeks of free support after which the $50/hr, prorated, support structure will begin.
Thank you,
Veronica Alvarado

Also, I am copying Kindal Mills who is also helping us. Please include her in the training session emails. She is going to help if she is available.

Let’s plan on 3:30-5:30 on the 9th. I know with Ed and Kindal’s work schedules, that would help.
Wonderful!
I have added it to my calendar and set up the Zoom meeting. Using Zoom meetings allows multiple people (in multiple locations) share screens and talk via conference call.
That way, if anyone cannot make it to the parish office for the training, they can do it from where they are.

I met with Helen today and did a complete review of the website. There are a number of items we reviewed that I can drive/change, but there are some that I'd like to discuss with you (or whoever is appropriate from Diocesan). Please let me know if you have any time tomorrow (Thursday) or Friday for a call.
Thanks,
