Content Strategy

Good morning Everyone,


I hope you have been doing well since you last spoke with Alan.

My name is Cody Armock and my role here in Diocesan's web department is as a content specialist. This means, that in addition to going over what areas of your current website are staying or going, I also help you find the most effective way to layout your website. I will be helping you, in this process, from now until the training before the launch of the site.

This not only helps us build you a website that is easier to edit and manage but also allows anyone visiting your website to accurately and consistently find the information for which they are looking.

Thinking about content before the design is important because it will make the design process easier and tailor it better to your needs. It is similar to building a house. Content strategy is figuring out how many bedrooms and square footage you need when picking floorplans. The design process is the customizing of the space (walls, flooring, exterior, colonial vs modern style, etc.). Content Migration/Creation is the filling of your rooms with furniture and your possessions. Without the content strategy process, the house may not suit your needs.

Below is a link to a live, Google document of your Current Sitemap that you are able to edit directly. Please go through this Sitemap and make the appropriate edits to display what pages you'd like Diocesan to migrate, as well as removing the items that you do NOT want Diocesan to move.

Once you have completed editing the pages you'd like Diocesan to migrate, please let me know and we will begin making a suggested sitemap for the new site based off of your current sitemap. The suggested sitemap is created to optimize the flow and look of your site. We will then send you the suggested sitemap to edit and change as needed and then approve it, which we will then use when we begin migrating content.

Prototype Site
Could you send us the link to the Prototype site that you showed Nathalie and Veronica during the Deep Dive? That way we can look back at it and take some inspiration from it as well as use the things that you liked from it.

Thank you for the guidance. We will review the current site map.

I am concerned, however, about continuity between the conversations we had with Nathalie and Veronica, and the decisions we made during our last conversation. At that time, we reviewed our prototype and we made decisions about the design of the new website. Am I to understand that we have to go through that process again? It seems to me that we made good decisions that day about the design of the website; we assumed that a record was being made by Nathalie and Veronica of our conclusions. Is that an incorrect assumption?

Thank you for sending the prototype link!

Veronica and Nathalie did take notes during that meeting about your design preferences: likes and dislikes. We do not need to go through that process again. I am sorry that my words gave off the wrong impression of us and that process. We just needed the link so that we could look at our notes and connect them representationally, if that makes sense. I did not mean to worry you about going through that process again. I hope that helps clarify some of the confusion I caused.

I will be one of the primary contacts during the development process of the website. There will be others here that may contact you about questions that they may have, but I will be aiding you in this process from now until the training session before the launch of the site, at which point, your contact will be one of our support staff. If you have any questions during this process you can direct them to me and I will get it answered. 

I have been told that you talked with Mary about the Domain Transfer and that Brian Jones was the contact for the domain, but I have not seen or received either the Login information: Login URL, Username/Email, Password, and Authorization (EPP) code, or through Unlocking your domain and sending us the EPP code and confirming it. 

Let me know if I am mistaken in that. I have checked our Basecamp emails and the department's email and have not seen the Domain credentials, but I could have missed someplace where we received it.

I suggest you speak with Mary, who has all of the information required to do the domain transfer. Terry, on the staff at the parish, just now spoke to Mary to confirm that she has what she requires for the transfer. I suggest that you and Mary have a conversation about this and, if you need something more from us, that you let me know.

Having been in IT consulting for many years, I have found that assigning a single point of contact for a customer is usually the most effective way of ensuring that important matters get communicated without the customer having to manage the communications of everyone involved in the project.

Veronica, our Project Manager, is cc'd in every message from consultation until launch and will be overseeing your project as it continues through the various stages. If you prefer, she can be your only point of contact, but her responses will come much slower due to the number of projects she oversees.

While I completely understand that it's easiest to talk to one person in IT, a website project goes much further than support. Our web team here at Diocesan is made of consultation, content, design, developers, and support. We do keep in mind that this can be dizzying, so we keep the entire team in the loop and I am here to guide you through everything from the actual project start (post-project approval) until the project concludes (launch). Additionally, we are meticulous in our note-taking so that we can share information with all of our team members as they each do their part.

Since we are at the point before design begins, we like to make sure that we have all pertinent information for the project upfront so that all processes further down the road can run smoothly. For this reason, we ask that you check over current content (using the sitemap provided here) and why we asked for the domain information—which has been received—and further discussed items mentioned in the Deep Dive meeting we had—the prototype link.
