My name is Cody Armock and my role here in Diocesan's web department is as a content specialist. This means, that in addition to going over what areas of your current website are staying or going, I also help you find the most effective way to layout your website. I will be helping you, in this process, from now until the training before the launch of the site.

This not only helps us build you a website that is easier to edit and manage but also allows anyone visiting your website to accurately and consistently find the information for which they are looking.

Hi this is Randy Rivers from St Clement’s church. I am wondering where we are on our website we started this in the spring it has been 7 months. The last I was asked to do was to give access to our website and I did that part. Our website person we have been using want me to update to her new site and I don’t want to do that and I need a working website.

Have you gone through and edited your current sitemap, so that all the content that you want to be migrated to the new site is on there and the pages you don't want to be migrated are removed?

Once the current sitemap is approved, we will make the suggested sitemap and send that to you to approve as well. Once that is approved, we will begin the content migration process and send out the development link once the content migration process is complete.

Hi Randy, 


I just left you a voicemail since I wanted to discuss a few things:
  • Determine if our Basecamp emails are getting through to you
  • Current sitemap's progress & approval

For planning and clarity, here is what remains fo the new website process:
  1. You edit & approve current sitemap
  2. Diocesan creates & sends suggested sitemap (2-3 days)
  3. You edit & approve suggested sitemap
  4. Diocesan migrates content (1-2 weeks)
  5. Diocesan sends you link to development site
  6. You receive first training session (at least 1 day after link is sent)
  7. You receive second training session (at least 1 week after 1st session)
  8. Site Launch (at least 2 weeks after 2nd session)
That puts us at about 5 weeks if everything is completed in a timely manner.

This email is from my current web person. I reached out to Carol but need some advice at how I should move forward with her until the new site is up and running





Hi Randy,



Thanks for your response, and about your future plans. You are paid through March 31st, but that is on a shared server. To continue that service, I would need to point the DNS to the new server until you are ready to move to your new site.



St Clements has been on a high-end premium server shared with my other clients. As of now, all of them have been migrated to another server, so St Clements is there alone.



I would like to work with you to find the best resolution. I know this has come up suddenly and I apologize, but we had issues over the holidays spikes in traffic and a couple crashes. I'm moving us to a more scalable solution to solve those problems . Since you’re moving, it doesn’t matter to you, but just letting you know the why.



I either need to migrate St Clements and the site can stay until March 31st or even go month to month until your new site it ready.



OR, you go ahead now and point your DNS to your new host. You can put up a “Coming Soon” page visible to the public or you can migrate the present site there. Both of these solutions would allow your emails to continue working with no interruption. Then you’re ready to launch whenever.



Either way, your name servers need to be changed—either to my new server or the one you’re working on now.



I want to shut down the old server on Friday, so I need a decision about which way you want to go. If you have an IT person or designer, I’m happy to work with them to come up with an interim transition—one that doesn’t interrupt your emails, or web service.

Hi Randy,


From what I have read, I suggest you move to their new server & Diocesan focuses on ensuring a launch by March 31. If there is any reason you need more time, we can set you up with a free, Coming Soon single-page site on Diocesan's server. 

Since we have not completed the content migration, I believe that is the best option. This will allow us, Diocesan, to migrate all of your content over to the new site before you lose it. 

Additionally, who is your domain currently through? What email provider do you use?

Good Morning Randy,

I was going through migrating your content yesterday and on the Youth Ministry page under Ministries, there were four zip files on the current website. Each of these zip files is quite large in terms of file size. (97.4MB, 154MB, 129MB, and 137MB) There is a problem with that in that the server only lets us upload a max of 100MB at one time, so three of these files would not be able to be uploaded. Also, although there are ways to get around that, they are not easily done and are in no way best practices.

There are a couple of solutions for this though and so I wanted to tell you the options, so you can pick the one that you would like. 
  • The first would be for you to set up an account on YouTube and host the videos there. We can then embed those youtube videos on the site so that users could watch the videos on the site. 
  • Another option is to host the video through Google Drive or another Cloud Service and just paste in the link for the videos there, I think that YouTube would be a better idea than this. 
  • The last option would be to shorten and/or compress the videos. This is my least favorite option because, with file sizes like 154MB and 137MB like above, there is only so much compression that can be done and so to reduce a file by one-third can be tricky to get it under that 100MB threshold.
