Content Migration
Good afternoon Amy & Fr. Larry,
My name is Veronica and I am the content specialist here in Diocesan's web department. My goal is to not only move your current content over to your new website, but all to ensure that the new website is:
- Easy for yourselves and any others to edit
- Easy for visitors and parishioners to find information
- Clear, consistent and accurate
The two questions I currently have for you are:
- When may I begin moving content?
To avoid extra work, I want to make sure that I only move your pages after you have edited them, if you plan on editing them at all. - How much of your current website will I be moving over?
In the consultation, you mentioned migrating minimal information. Is this because the current information is outdated? If so, I will begin with the information in the Bulletin and build your website's content from there to ensure it's accuracy.
Please let me know if there are specific pages other than St. Mary's Church Organ that you would like me to bring over.
Finally, thank you for choosing to work with Diocesan on this project. The main goal of a website is to provide visitors and parishioners access to your information without having to call the parish office. With our years of expertise working with Catholic churches plus my own experience of being both a parish office administrative assistant and a parishioner, I believe that we can serve your parish to the utmost degree.
Thank you and I look forward to working with you,
Veronica Alvarado

Hi Veronica,
Nice to meet you!
I will be your contact for the website on all matters of content and design. Fr. Larry is only to be contacted regarding the use of the current web address (and items related to that).
I guess the answer to your question, when can you begin to move content, does depend on the editing process. Based on your statement, it sounds like we should edit first if we want to edit. However, I have no access to edit what is already there. I was under the impression that once the information is moved to our new website with Diocesan that we can edit information ourselves. If that is the case, then you can start moving content as soon as you wish.
We don't wish to migrate much information. Mainly because it is outdated, but also because it no longer shows the foot we want to put forward.
We would love to have the information about the St. Mary organ brought over to the St. Mary page. However, I don't even see it on the current website! Which website are you looking at?
We wish to migrate the parish history information for each of the parishes. (Actually, I believe only 3 of the 4 have history on the old web page at this time.) Each individual parish page is set up for this with what Sam did.
We also want to migrate the picture and bio for Fr. Matt Lee. It should be accessible under the "about" tab. We'll need one more space like that for the next Parochial Vicar, though we don't know who that will be at this time. Fr. Dan Hunt is being transferred next month, so his information won't need to stay. I suppose all that "staff" information would be under the about tab?
There won't be any blogs.
We will, of course have a calendar, and I'm using Google Calendar right now, but it's not currently up to date.
We will want it to work with our Facebook, Twitter, and myParish app. It was my understanding that someone would be working with us to make those platforms have the same look and feel as our website to the extent possible. So that we will present one cohesive brand. Is that you or someone else?
We've been taking a closer look at the links we want to use to outside sources. The ones that Sam has on the main page are good for starters.
Otherwise, I guess I don't know what you need or how this works. But I'm sure you'll explain it.
Please note that I wear an awful lot of hats at the parishes. I'm the business manager for all four parishes. And the secretary, receptionist, bookkeeper, scheduler, HR dept, etc., etc., etc. That means I may not be able to get you the information you need as quickly as you would like. But, we do want to get this rolling, so I will be doing my best to take care of your needs as quickly as I am able.
I'm looking forward to working with you.
Thanks so much!

Hello Amy,
Good to know about who to contact moving forward.
Also, don't worry. I completely understand if you can't get back to me right away. I used to work at a parish office for 2 churches and we had a grand total of 4 employees, including the pastor and deacon.
For your ease, I'll briefly run through the things you brought up:
- You will most definitely be able to edit content both before and after the website is launch. I just wanted to make sure you weren't currently editing or planning on editing as I am moving content.
- The organ page is kind of hidden. A link was provided in the consultation (http://champaigncatholics.org/?q=content/st-marys-church-organ). I will move the histories and bio information as well.
- If necessary, I can work with you on the Google Calendar during our website training.
- As for social media, are you wishing to "push" the things you post on the website to your Facebook and Twitter? I will look into this, but it is not actually something we have done so far. For the most part, we simply display a Facebook's feed on a page. myParish App is very compatible with social media (direct links) and the website's posts (display within app). As for images to complete the cohesive look between Facebook, I think you should focus on using the same images (logo, etc). I can do some of this for you and will show you how to do this for the future (sustainability).
- Good thinking about looking at the useful links. Have you though about the structure of your menu/site navigation? If not, I can put together what I think would work best.
Thank you and I hope you have a wonderful afternoon!

Thanks Veronica!
Items 1. - 3. make perfect sense.
On item 4. I'm not sure. Since I'll now be donning the hat of person who takes care of these things, I was hoping that there was some easy way to cross platforms. So, if it was something we put on the app it could go to Facebook or Twitter. You're right, in the fact that we want to use the same images and color schemes, etc. as the website for the other platforms.
Re: Item 5. If you mean what items go under each tab and what content that links to, then yes, I've thought about it a little. If that's not what you mean, then I'm at a loss. Let me know. If that is what you mean then I'll send you my thoughts. Either way, I'm happy to have your ideas and experience to help us.
Thanks, and have a great weekend!

Amy and Veronica,
A couple of points:
1) Historical information for Sacred Heart Parish is not available from the current website. As far as I can recall this was a lapse on our part.
2) Information transfer would involve copying files from the /files directory, with the following subdirectories:
a) bulletins b) pictures
as well as .png files in the files directory, itself.
3) It would also involve harvesting information from the MySQL database, as needed. In particular, this database (named "champaign" on the virtual server I maintain on my jumpline.com account) holds most of the information, such as postings and other assorted information pages, accessible to the drupal.org code management system (CMS).
4) Particular pages referenced include the parish history/Mass schedule pages, Fr. Matt's bio and the information about the St. Mary Parish organ which is accessible via the link "St. Mary's Organ" at the bottom of the page (under "SPECIAL FEATURES"). If you like, I can attach the .html files at your convenience.
5) More extensive transfer of pages could require developing automated tools, depending on the scope.
As a former systems engineer and developer of the champaigncatholics.org web site, I can assist in any and all of these areas.
I reprotected the domain name WhoIs information, assuming that you have already examined it. If this is not the case, please let me know.
Fr. Larry

Hi Veronica,
In regard to Fr. Larry's email about the content location and what it will take to get it over to the new website:
On these items you all speak a completely different language than I do. However, I realize that Fr. Larry set up some pretty complicated systems which make it difficult for us to use (and is one of the reasons we're not just changing the current site to suit our needs).
I ask you to, on our behalf, weigh the options of doing the gymnastics to get the information transferred to the new site vs. starting over from scratch. Because if Fr. Larry's system is too convoluted it will cost you more time and us more money.
Thanks for watching out for us,

Fr. Larry,
I believe we should be able to get to all of the pages we need. Photos can be saved from the site and we have an automated system that will display the most recent 1-10 bulletins. (In the consultation, you noted 8.)
Also, I do not believe our developer looked over the whois information, but if it is easier, you can simply send me the information rather than unhide it.
Please let me know which is easier for you.
Thank you,

Amy,
I have talked to Sam about creating Facebook & Twitter headers for each of the parishes' Facebooks (even if they do not currently have one) so that the Facebooks and Twitter will tie in with the new website.
Additionally, I am looking into what system will work best for crossover/push content to your social media accounts.
As for the menu, yes I was talking about what item goes under each tab and what tabs you would like available. For example:

- Home
- About
- Welcome Message & Group History (if any)
- Parishes (drop down menu or landing page?)
- 4 parishes & their information
- Liturgy (accordion)
- Mass Times
- Reconciliation Times
- Adoration
- A Word From the Pastor
- Sacraments (accordion)
- 7 Sacraments
- Chatechesis (accordion)
- Faith Formation
- RCIA
- Parish Life (accordion)
- Music Ministry
- Liturgical Ministry
- Funeral Information
- Contact
Feel free to add and move things around as needed. Also, this will just be the starting point. The menu and it's items may be changed at any time.
Also, do all the churches have the same registration form, or are they all different?
Thank you,

You're welcome!
Thanks Veronica!
I'll take a closer look at what you've suggested here and provide you our additions and things. As far as the actual content when we get to those pages, it may take me a little while to get you what we want. All the parishes share the same registration form, and several other forms.
Talk to you soon,
