Catholic Charities - Venice, FL

Development Website

Good morning Judy,

I have the link to the development site so that you can see our 80% progress:
https://catholiccharitiesdov.diocesanweb.org/

As you will notice, there are still thing we need to add to the homepage, such as EventOn and Flow Flow and are working on the small details of how things look. Please take a look at the website and keep in mind that mobile development is something that we do last, after all other changes have been made. This ensures that we do not miss anything when optimizing for mobile.

Once you have taken a look at the website, let me know and we can look at dates for a training.

Thank you,

Veronica,

Thank you for sending the link. It looks like you are making progress.

At this point, what type of feedback do you need from me?

Thanks,
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Judy,

For the most part, it is just to let you see our progress so far. At this time, we also like to schedule a website training. Is  there a day that works best for you in early December?

The training typically takes ~2 hours and is done remotely on your computer screen. If you plan on having more than 3 people in the training, we suggest connecting your computer to a TV/projector in a room with a speaker phone. This would allow everyone to both see what I am doing and hear me as I narrate the training.

Apart from setting up a training date, there are several things that I need from you in order to get the social media aspect of the website working properly. Each of the following needs to have a developer's API key generated in order to display your feeds.
  • YouTube Login
  • Twitter Login
  • Facebook Login
I know this one typically uses a personal account, so if you'd feel more comfortable, we can do it remotely on your computer
  • Instagram Login

Thank you and have a wonderful Thanksgiving!

Veronica,

Thank you.

Do you need changes from me from the content that is on the site or will I be building the pages with the correct information? For example, I can see that the locations and services are not all the correct categories. Also, there are navigation items on the bottom of the site that are missing. Do you want me to give you those corrections or will I be making them?

Also, I am thinking we may just run our Facebook feed along the bottom of the home page since we often post the same content across Facebook, Twitter and Instagram. Your thoughts?
FROM THE CLIENT Judy Bokorney, Communications Manager | Sarasota at Catholic Charities - Diocese of Venice Staff
Veronica,

I can see that the Instagram feed is now at the bottom of the site. That may be a better feed for a web site to use at the bottom. What do you think?

I will be the only person who will train for the web site. I have a co worker who I will train later as a backup. I am available on December 3, 4, 6, and 7. What day and time works for you?
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Judy,

If most of your posts are the same, I think Instagram would be the best to display, since it is the most visual of the three.

As for the content changes, I am still going through and updating menus and pages, although we have already moved all of the page content. So over the next week or so, you'll see the changes you noted in your "Catholic Charities Web Site Navigation" document.

Hello Veronica,

I hope you are doing well. Just checking in on your "to do list" with our Catholic Charities web site.

I have made some changes to the website and plan to make more but unfortunately this is our very busy event season now and my time is limited. So my ability to move the site along is slow right now.

Please let me know how progress is going on your end.

Thank you,
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Good morning Judy,

I am well. I hope you had a wonderful holiday season.

Our developer only has a couple things left on the list and plans on finishing those items today.

Here is what he has on his list:
  1. Change footer copyright to "Catholic Charities, Diocese of Venice, Inc."
  2. Display footer icons under "Connect With Us" heading
  3. Default template boxes will be purple and turquoise like services boxes

Let me know if there is anything else that I can help you out with on the site,

Thank you,

Veronica Alvarado

Veronica,

Thank you so much.

I am assuming you are referring to the Event calendar for the template boxes to be purple and turquoise right? And the icons under "Connect With Us" will only be the social media icons.

I believe on the list we also had that I will need a Guidestar Logo to be created in the turquoise to put on the footer next to Charity Navigator as well so I can link to our profile on Guidestar.

I have a few questions:

I also need to create the private Employee Forms page where only Employees will access it. How will that work? Have you migrated all the forms for that page?

How do I upload PDF or other files to the site and then link them to a page?

On the Services and Locations pages, the featured photo that I had put on them have both disappeared. Also the links on the upper right-hand corner on both those pages "Service/Locations" does not work and I am not sure how to create the links.

On each location page, where there is a list of offices in the the location, how can I reorder how the offices are listed from left to right? I want to put the primary location first going from left to right.

That is it for now. Please let me know if you have any questions.

Thank you,
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Judy,

Here is what he has completed today:
  • Inner page custom post type boxes to be purple and turquoise like services
  • Change footer copyright
  • Default featured image was not displaying for new pages
  • Social media icons under Connect with Us on homepage
And to address your other concerns:
  1. He was actually working on getting the inner page buttons to match the rest of the site, but now he is still trying to see if we can do alternating colors or if it is only possible to change it to a single color. If we can only change it to a single colors, would you prefer the purple or turquoise overlay?
  2. I didn't see the GuideStar image on my list, but we can definitely knock that out today. What logo are we using? Where will it link to?

  3. We have already started this Employees-only forms page. Right now it is public but only visible if people know the URL because it is not in the menu or linked to anywhere. If you'd like to password protect the page, I have included PDF instructions on how to set this up.
  4. The process of uploading PDFs and other documents is fairly simple to get the hang of, as WordPress puts the "Add Media" button right above the content editor box. I have attached a PDF with instructions on how to add media (files, images, etc) into pages.
  5. This is something that was caused by ensuring the default image works for all new pages. He will get this done this morning.
  6. For the cities, the programs are all in alphabetical order. Is there a primary location OR are the "Administrative Offices" the one you'd like to display first? We just need to figure out the best "black and white" logical way to determine which shows first.

The last thing I wanted to ask about was the domain transfer. Before beginning this process, I wanted to double check that you'd like to transfer your domain to Diocesan. If so, we will begin the process now so that I can create the Google Suite and its emails ASAP.

Thank you,

Veronica,

Thank you so much.

1) I do not know what you mean by "Inner page custom post type boxes to be purple and turquoise like services". I do know we wanted to overlay the event boxes with the colors like the services so that the grainy images may look better. I do not see that that has been done. I do not remember asking about any other buttons.

2) Can we center the social media icons under "Connect With Us"?

3) Here is the link for the Guidestar logo: https://www.guidestar.org/profile/7982810. Please use the GuideStar logo you have shown on top and bottom.

4) For the programs listed for each city and service, is there any way I can order them as needed for each city within the software? They are not currently not listed in alphabetical order but that will not be how I actually would want them listed anyway. For some locations and some services, there are multiple programs listed and I do have an order of how I would like them to display.

5) Yes. We are transferring our domain name to Diocesan.

6) Thank you for the instructions about uploading information. Also, I did not see on the site where all the employee forms are located?

Thank you,
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Hello again Judy,

The developer has completed the following tasks this morning:
  • Homepage events with alternating turquoise and purple overlay (darkens on hover)
  • Services & Locations header pull featured image
  • Reordering Programs
In order to reorder the programs, you'll find that under Programs, you now have Reorder.
  1. Hover over Programs in the dashboard menu and click Reorder.
  2. Select either the service type or the location from the dropdown list.
  3. The page will load all the programs within this category.
  4. If you'd like to use the manual sorting for this category, click Yes. By default, it is set to no.
  5. Under List of post "Programs" classified "Categoryyou can drop and drop to reorder the posts.
  6. Done!

All we have left is:
  • Which GuideStar logo did you want us to use?
  • Approval to initiate domain transfer.

Thank you,

Judy,

We seem to have been responding to eachother at the same time!
In response to the original concerns:
  1. We had also discussed the buttons on the inner pages of the site, like the Donate page. Before, they just had a text box wih a dark grey overlay
    https://catholiccharitiesdov.diocesanweb.org/donate/
We also updated the homepage events the way you mentioned:
  2. They should be centered. Please do a hard refresh (Hold down Control and click F5). If they are still not centered, please take a screenshot and let us know.
  3. We will work on that and put it onto your website
  4. Reordering of the programs is available.
  5. We will begin the transfer!
  6. All of the employee forms are on the Employee Forms page. As mentioned, the page can only be found by going directly to the URL since it is not in the menu:

Hi Judy,

I'm not sure why it is not updating. I just went in and tried to refresh the cache (remove all posts and re-pull in posts) and now no posts are displaying.

I have a question: For our Employee Forms Page, do I upload revised forms through the Media function? And, how do I change the link to the newly uploaded form. Our Employee Forms are often updated/revised and also I have to upload new ones at times too.

Thank you,
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan
Instead of uploading through Media, you can actually just delete the old link, make sure your cursor is in the right spot, and click Add Media.
You will then have the option to upload your new media file. Be sure to give it the correct title, as the title will display on the page.

We looked into the issue and found that our site was not the only one experiencing issues with displaying Instagram feeds. We submitted a support ticket to Flow Flow and did heard back from them yesterday afternoon. They're going to be logging into the site to take a look at it some time this week and let us know if they have a solution.
All we know as of this moment is that it seems to be an internal Flow-Flow issue and not something that is wrong on our/your end.

This may be a question for Mary but the only existing email address through our domain name /current website with GSuite is my email address: judyb@catholiccharitiesdov.org (mailto:judyb@catholiccharitiesdov.org). All of the other email addresses will be new ones. Hi Judy,

Thank you for sending me the tax information.
Now, you mentioned that your email is already on a G Suite account. If that is true, then we shouldn't have to create a new one, but instead simply gain access to the adminstrative account to set up the new email accounts after launch. The G Suite is technically attached to the domain, not the website/host.

Who set up the G Suite for your current website?
You may also want to try going to admin.google.com to see if you can log in with your own Google credentials.

Let me know what you find. If you'd like, we can also have a phone conversation about this.

Some of the programs that I have linked to either a service or location is not showing up on the proper page.

Hi Judy,

To address your items:
  1. I can most definitely assist you in setting up the staff emails.
  2. Since you need an info@ email before launching, perhaps we can go over creating an email with that one and then if you find yourself needing help setting up the other staff emails, you can get in touch with me. When we create the info@ email, I will also show you how to direct the email to go to your judyb@ email.
  3. The Contact Us and Volunteer Form submissions can be directed to any email you'd like. The email is not public, so you could connect it directly to your email. Click here for instructions on how to edit the email.
  4. Our developer is looking into why it isn't pulling the programs into their respective service pages. Are the ones having issues services that you recently added? (Refugee Services, Disaster Response, Port Charlotte)

Hi Judy,

The Events button in the header is actually your primary menu, which can be edited by going to Appearance > Menus.

The /events page is the page that EventOn uses as it's default archive page, but I have asked the developer to see if there is a way to move the default archive page so that you can use the /events slug.
I will let you know what he comes up with.

Your menu is where both bars of text are found. The Find Help button is the only one that will be in your Theme Settings;
