Site Map/Navigation

Hello Chris,

It seems that I have finally been able to find the time to put together a site map. This will serve as your menu.
Of course, we had discussed making changes to it, such as coming up with different names for sections. Here are some of your current page names, and their corresponding "fun" titles that I have seen on other parish websites:
  • About Us
    • Who We Are
    • About
    • Our Parish
  • Events
    • Parish Happenings
    • News & Events
    • Stay Connected
  • Sacraments (should stay the same)
  • Ministries & Outreach
    • Volunteer
    • Get Involved
  • Stewardship
    • Give
  • Contact Us
    • Contact
    • Connect
    • Connections (if this tab includes not only Contact Us, but also Daily Readings, Prayer of the Day, Saint of the Day, etc)

I have attached the starting site map as a word document, so please feel free to change things around and send it back to me. You can always change things later, but it is always a lot easier to have a visual of the website's layout.

Let me know if you would like to talk this over or if you have some other great ideas for a more welcoming menu!

Hi Veronica,

Funny, you and I were working on the same thing! Attached is what I came up with so far. I’ve sent an email to those involved, and included this same document, asking for any additional changes by the end of the month. (You’ll see there are a few items in DropBox.)

The next person, Daniel has also contacted me and I included that info in my message, asking if anyone will be joining me for the training session.

If I get any additional info, or come up with any great ideas, I will send to you asap.

😊 Chris

Haha, well that works! I will begin structuring the menu and looking through changes.

Also, I will go ahead and check DropBox for the things you have uploaded.

Thanks Chris!

Chris,

Basecamp has a section for Diocesan to create to-do lists, so I have created one with items that you need to do. As you get this information to me, I can begin checking things off.

Here is the link to this to-do list: https://public.3.basecamp.com/p/7foAPdg29bXdjPXmovWFetLW

I have already put the things that you had on the website changes document you sent over. I figured pictures were something you were going to do, not me, haha

Also, I have several questions:
  • Bereavement Page
Is the Bereavement page going to be some of the same information as your current Funeral Coordination (it is a page on your site, but hidden)? On this page, specifically says that it is "a part of bereavement ministry." We seem to have migrated it over from your current site, but it says that it was published on July 1, 2011.
    Here is the content:
    • Contact: Schedule with Parish secretary or Cathy Blanchard: 727.531.7721 (Parish Office)
Description: A part of bereavement ministry designed to offer help and comfort to family members, loved ones and friends of deceased.
Scheduling: Contact parish office to schedule and coordinate the funeral
Ministry: The individual working in this ministry must be a person of patience, eager to help relieve grief and suffering of others with empathy.
Time Commitment: Extremely flexible as will be called to assist when parish is notified
Helpful Attributes: A comforting and caring soul
Activities: Meeting with families, coordinate funeral with family, parish office, sacristans, music ministry and altar servers and lecturers.  Providing family with education of procedure.
  • Gmail
Is St. Catherine of Siena still interested in switching to Google Mail?
Also, what email service do you use now and are there any emails already example@scosparish.org?
    • If you are not switching to Google, we will have to create at least one gmail account in order to set up your calendars.
  • Other Pages
For any pages that were left off that menu, I assume we will not be adding them to the menu, but not deleting them either. Is that correct?
Thank you,

Veronica Alvarado

Hi Veronica,

I have requested the missing information from those it pertains to, and there is someone who will be going around to the various ministries, staff, etc. to take new photos. I think the photos will take some time, so I imagine we will start off without photos? And your people will show me how to add?

All our emails are lastname@scosparish.org but I don’t know what “service” we use. We all operate with Windows 10 and use Microsoft Office 365 and Outlook.

Re: other pages: which pages were left off?

Will update you as soon as possible.

😊 Chris

Good Morning Chris,

We can most definitely add the staff without images for now. We will go over how to add their photos during training so that you may add them later.

Thanks for letting me know about the emails. I think it may be that your emails are just set up through Microsoft/Outlook.

The pages that were missed were: Media Gallery, News (all "news" posts instead of just the most recent 3 on the homepage), Youth & Young Adult Ministry, Legacy Society, Catholics Come Home, Links/Resources, and Bulletin. Most of these were on your homepage, on the left sidebar. While some of these may be found on the homepage, they are normally somewhere in the menu as well, so that users have the ability to access them no matter where they are on the website.

I just found Youth & Young Adult Ministry on your list, so please disregard that one!

Additionally, Legacy Society is under Stewardship, so nevermind that one!

I will need content for the new pages, Summer Programs and Becoming Catholic (under Faith Formation). I have added those two to the to-do list that is shared with you.

Hi Veronica,

Didn’t want to forget to send this message to you from our Director of Faith Formation, Elizabeth:

Just want to be sure that one function the website will have is the ability to register and submit info online. Our young parents are used to filling stuff out on their phones and hitting send, so the website should have that functionality for Faith Formation and Baptism registration, VBS, etc.

Also, migrating “Forms” – don’t want that to get lost in the shuffle!

I assured her that this would all be available on our new website and that people will click “submit” and it will automatically go to the email that we assign to it. On that note, I’m almost done assigning the forms but just waiting for a couple answers.

Have a Blessed Easter. Talk with you Monday or sometime next week.

Chris
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Chris,

Do not worry, we have brought over your previous forms and put the online versions next to them:

There are some forms that I did not create an online version of, simply because they require a fee to complete. I did, however, create the Religious Education form with the fee, but stated at the form confirmation (after they click submit) that children will not officially be registered until after payment is received. This is one way to get around making online payments, unless you have that set up (paypal or online giving links directly into a religious education fund).

Also, I have not set up VBS because you said that you were soon going to have the new version of the form

Also, haha, sorry for only giving you a quick peek of the new website, but we should be sending the link to the development site in the next couple of days, so it shouldn't be too much longer of a wait!

If I don't hear back from you before this weekend, I hope you have a lovely Easter break!

LOL, I love the sneak peek! So clean & refreshing!
This also shows how OLD some of these forms are! Gotta check on that.
And as of yet, we have no way to pay online; some are resistant to the idea………………………..

😊
TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan
You know, Chris, I am never surprised by how resistant parishes seem to be to online payment for things, haha. But, I understand and it's completely up to the parish. I just wanted to be sure that I made the Religious Education Registration because Elizabeth definitely wanted there to be an online version.

I just thought of something I might not have been clear about.
Under Outreach, I only MEANT to delete the category of “Sponsored Works”, NOT the items underneath it. I know we are moving Siena House to the front page, but Pinellas Hope, Kimberly Home, and Prison Ministry will remain under Organizations.

Thanks,
Chris 😊

Chris,

I will admit that I was confused by all 4 pages being highlighted, so I did not delete the pages, I just removed them from the menu.

They are now back in the menu and I am reformatting them now.

How does everything else look?

Hey Veronica,

I’m going crazy here! Several are giving input now and some changes are forthcoming! …………….Tomorrow!

Chris,

Should I be worried?!
Just kidding, it's good that there are more than one set of eyes taking a look at the website before it officially launches. Better to make any necessary changes now while we are still working on it.

Also, just remember that any content (photo/text/text layout) changes are things that may be done on your part once you have had your website/WordPress training.
Has Daniel discussed training with you yet? I know we are waiting on feedback, changes and completion of the site, but I wanted to double check.

Let me know if you have any questions,

Hi Veronica,

It was so good to talk with you a while this morning! Easier to describe things sometime.
Here are some of the changes:

* Please make the Search feature more visible.
* Change daily Mass from 7pm to 7am.
* Make our address a live link to map.
* Try putting the Saturday Vigil before the line of Sunday Masses on our home page to see how that looks.

* I like the Sacraments “hot button”, but list Baptism, Reconciliation, Eucharist, Confirmation, Matrimony, Anointing of the Sick, and Holy Orders for description.

* Once you click & get to the page, list the sacraments by the same names & order
* Move Marriage Enrichment to under Spirituality.
* Remove “& Visitation”
* Marriage Preparation should come under Matrimony.
* Move Funerals to
* Add Holy Orders with a link to www.dosp.org/vocations<http://www.dosp.org/vocations>

* On the Marriage Preparation page, the link to Pre-Cana does not work.
* Have all online-completed forms go automatically to the newly-created scosoffice@gmail.com<mailto:scosoffice@gmail.com>.
* Under the Ministry Leadership:

* Spacing at top still a bit off
* Space before SSJ is missing in some places
* Change Coffee & Doughnuts to Sherri Briand
* Delete Nursery
* Change Altar Servers to Heather Lesfloris
* Add Chris Pelletier under Marriage Preparation
* Change Eucharistic Adoration to an open spot for now

* Under Ministry Service Opportunities, delete Nursery, Girl Scouts, Symbolon (and attached link), add Coffee & Doughnuts (with link to new info I sent you)
* Under High School Youth Ministry, change Sherri’s title to Director of Discipleship & Youth Ministry and her extension to 122
* Under Religious Education Program, Grades 6-8 use EDGE and only the Confirmation class uses Chosen
* Add a fill form under High School
* Regarding fill forms, we need to know WHERE it is directed (which ministry) since all are going to one email
* Separate Youth and Young Adult Ministry and right now, there is nothing under Young Adult

There are currently 3 items I’ve put in our DropBox; not sure if you’ve seen them. Can our new website accommodate PowerPoint presentations?

I need to stop this for now to accomplish some other things………………………………..I’ll check back in a while………………………

😊 Chris

TO THE CLIENT Veronica Alvarado, Project Manager at Diocesan

Chris,

For starters, I have created the gmail account. Here is the information:
  • Username: scosparish@gmail.com
  • Password: stcatherine727 (may be changed at any time)
  • Birthday = November 23, 1977 (First Mass celebrated at SCOS parish)
I have set all the forms to go to this email. You may log in at any time.

We are currently still working on making the search feature more visible, as we had discussed.

Completed Items
The items I completed were nearly all content related, but since I was moving things on these pages anyways, I went ahead and did them.
  • Change daily Mass from 7pm to 7am.
  • Make our address a live link to map.
  • Try putting the Saturday Vigil before the line of Sunday Masses on our home page to see how that looks.
  • Have all online-completed forms go automatically to the newly-created scosoffice@gmail.com<mailto:scosoffice@gmail.com>.
  • Under the Ministry Leadership:
    • Space before SSJ is missing in some places
    • Delete Nursery
    • Change Altar Servers to Heather Lesfloris
    • Change Coffee & Doughnuts to Sherri Briand
    • Change Eucharistic Adoration to an open spot for now
  • Under Ministry Service Opportunities:
    • add Coffee & Doughnuts (with link to new info I sent you)

Training Items
I could take care of these items, but they will go into your total cost for the website and all of these items are things we can cover simultaneously as we train. This way you get to practice actually editing the site, you learn by doing, your staff gets to see real-world issues, and there is not charge, as your first training is free.
  • I like the Sacraments “hot button”, but list Baptism, Reconciliation, Eucharist, Confirmation, Matrimony, Anointing of the Sick, and Holy Orders for description.
    • Once you click & get to the page, list the sacraments by the same names & order
    • Move Marriage Enrichment to under Spirituality.
    • Remove “& Visitation”
    • Marriage Preparation should come under Matrimony.
    • Move Funerals to ??????
    • Add Holy Orders with a link to www.dosp.org/vocations<http://www.dosp.org/vocations>
  • Under the Ministry Leadership:
    • Spacing at top still a bit off
  • Under Ministry Service Opportunities:
    • delete Nursery, Girl Scouts, Symbolon (and attached link),
    • Under High School Youth Ministry, change Sherri’s title to Director of Discipleship & Youth Ministry and her extension to 122
    • Under Religious Education Program, Grades 6-8 use EDGE and only the Confirmation class uses Chosen
  • Add a fill form under High School
  • Separate Youth and Young Adult Ministry and right now, there is nothing under Young Adult
Information Needed to Complete
These items go along with Training items, but requires some additional information in order to complete them during the training.
  • Chris, you told me to delete Safe Environment, but in the notes uploaded to Dropbox, it says to keep it. Should I resurrect it?
  • On the Marriage Preparation page, the link to Pre-Cana does not work.
  • Change Altar Servers contact to Heather Lesfloris
    • What is her email?
  • Add Chris Pelletier as contact under Marriage Preparation
    • Marriage Preparation is not there. Are we adding it?
  • Regarding fill forms, we need to know WHERE it is directed (which ministry) since all are going to one email
    • The email will come in with the subject as the form title, so "New Submission from "Form Title." For example: "Baptism Registration Form," "Bulletin Announcement Request Form," "Coffee & Donuts Ministry Interest Form," etc. Also, in each form, you can decide what is in the message. For example, you can set the Baptism Registration Form to go to the scosoffice email, but have each body of the email to say something above the entry information.
    • Example:
Your Questions
  1. There are currently 3 items I’ve put in our DropBox; not sure if you’ve seen them.
    • Yes, I saw them and
  2. Can our new website accommodate PowerPoint presentations?
    • Kind of. If you look at the Parish Reports & Appeals page, I have added the 2018 Disciple Maker Index as a file, which will be downloaded when you click on the "View the 2018..." link.
    • Another option is to display the slideshow as individual photos, as I have done with the first 3 slides here: http://stcofsiena.diocesanweb.com/envira/disciple-maker-index-sample/. If you go about this route, parishioners may click on any of the images/slides and rotate through them in a lightbox/slideshow manner.

Training
I think most of these issues are things that can be easily done during our training, as the only thing on your list not regarding content was the email and search.
As Daniel mentioned in the other email, we are flexible and can facilitate a training at a time that works best for you and other members of the staff we will be training.

Thank you,

Veronica Alvarado
