Design Close to Quoted Hours

Hello Father and Veronica,


Danae has let me know that the logo design changes for the remainder of your design will place you beyond your originally quoted design hours.

As of right now, we have used 18.1 hours of the 20 hours budgeted for design. 

Why are we going over?
There are often a number of reasons a project’s design may go over in hours. Some of these items include:
  • More changes than anticipated
  • Multiple logo creations
  • Intricate logo creation(s)
  • Change in design direction since our initial consultation
    (The quote is based on the Deep Dive meeting with you and the websites we showed.)
In your case, Danae let me know that the detailed version of the logo will take more than the remaining 2 hours of your design budget.

What does this mean for the total cost?
Going over the budgeted design hours does not automatically mean that your project’s final cost will be more than originally quoted. Our Content Migration portion of the quote is often given a couple of extra hours of padding to include additional time for Diocesan to add any new online forms or content for you. Since we will be going over in design, Diocesan will keep an eye on your content hours to ensure we do not go over the final quote. Additionally, we will notify you as we near the final quote hours to determine how to proceed. 

What happens when I am almost out of content hours, too?
If you are nearing your quoted content hours, we will notify you and provide you with a document entailing what has/has not been migrated so that you are able to determine if you’d like Diocesan to continue or if you would like to complete the migration and content creation yourself. At this point, should you choose to continue, the additional content hours will be billed to the parish at the rate of $70/hr, prorated.

You are correct. We are currently at 18.1 hours of all design. Since the site design is using a template design, the project is already in development and will be able to have fonts and colors updated once your design is complete. This will use development hours, not design.

What's Left?
I talked with Danae this morning and she let me know that she expects another hour and a half to finalize the logo she is working on and determine the placement/usage of colors. She does not expect to go over for the creation of the design but let us know that in anticipating changes, there may be overage.

Current Design Budget Breakdown
For the design breakdown, the first ~10 hours were to create the original logo and that ~6 hours have been used to create the new logo. The remaining time was used for design meetings and design emails.

Going Over Hours
If you do go over in design hours, you have the choice of using your Content Migration hours (16 hours). 12 of these 16 hours are available to be used for design or development overflow. Using these Content Migration hours means that Diocesan may not migrate all of your content, depending on the amount of content. Looking over your content, I do not anticipate that we will reach the 16 hours since there are not many pages. If any pages are left for migration, you will be able to go in and complete any content after your first training session.

Hello Veronica,

I pray this message finds you well. I am responding to the email you sent regarding the logo design, and the hours already spent. I want to make sure I am understanding the email correctly.

We are at 18.1 hours for design in general and not just logo design. The logo creation will put us over the 20.00 hrs. How much over? Will we be charged the 70.00/hr for the amount that we go over in design? Also, I was reading the “reasons we are going over”, since you are mentioning “in your case” is it safe to say that those do not apply to us but are merely examples of possible reasons? Other than the logo putting us over, do you know why we reached the design hours so quickly?
