Website Proposal

Good morning,

I hope everything is going well during this time of uncertainty.

During our Deep Dive conversation we showed you a few websites that we felt would great for your content and goals.  You liked some aspects of the website for St Mary Immaculate and absolutely loved Sacred Heart.  The foundation of the website will be inspired by Sacred Heart.  We will add in the aspects of St Mary Immaculate that you liked such as having a menu that has drop down choices.  We will also build a page for a podcast archive and provide the option to create an emergency message when applicable.

Attached you will find a copy of the proposal.  The proposal was put together so you can see each step of the process and the amount of time we determined it would take to complete in your vision.  This is so you can see how we came up with our final numbers.  Another aspect to the creation of your new website is the updating and freshening of your logo.

Finally, my sales team has made a credit available to you for the creation of your new website contingent upon an agreement with the bulletin contract.  They will provide 75% of the cost to create the website and have provided 2 options related to the bulletin contract:
1) Sign a new 6 year contract, or
2) Sign a 2 year extension to the current contract

I have provided the final cost numbers, as well as the bulletin contract options on the proposal.  If you have any questions, or you would like to discuss this proposal do not hesitate to reach out to me.

Back in March, we had a really great discussion during our Deep Dive.  I believe we have a great design idea that will showcase All Saints extremely well.  On a side note, I have been trying to get my singing voice to a respectable level.

Since the proposal was sent over I haven't heard any feedback.  After being able to review the proposal, what are your thoughts?  If a phone conversation would be best, let me know when you would be available.

Back in August, Kristin had mentioned working on getting things back to as close to pre-COVID as possible.  Over the last few weeks, I have been trying to think of ways that we can help.

The first bill you will receive will come after the launch of your new website.  At this time we can work with you on splitting the payment over a few months.  We could receive half payment initially, and then a few months later the second half would be due.  Would this work for you?

Good morning Alan:

I reviewed the proposal from March 17, 2020 with Kristin. If I am understanding the proposal correctly, you are providing two costs, one for the two year contract and the second for a six year contract. The questions I had are as follows:

1. What is the hourly development rate should the work exceed the proposed 121-142 hours?
2. What are the terms of each contract (two year/six year). I would like to review the terms of the contract prior to signing. Specifically, I am looking for early termination clause, support, break/fix, down site; etc.?
3. Will the amount of storage and bandwidth be increased over the life of the contract? (what seems like adequate storage and bandwidth today may be very insufficient in a year or in a few years).
4. Does the contract allow for future development / redesigns (although we love a design today, it may look and feel very dated in a year or in a few years).

Our 2020-2021 ASP budget was presented in August to our Finance Council, however, I do not believe that this proposal was included in the budget proposal. Therefore, I will have include this in next week's council meeting.

Please advise with regard to the above questions.

Thank you for getting back to me.  Below are the answers to your questions.

1)  If the project were to exceed our proposed timeframe, we would bill $70/hr.  However, we are in frequent contact so if we are getting close to going over hours we would see what we can do to finalize the project or move anything to Phase 2.

2)  Information on the contract would be through the sales team.  I will have them reach out to you and go over those details.

3) At any time you can move up a hosting tier.  Our Tier 2 Hosting includes 20 GB of storage and 30GB of monthly bandwidth for an annual charge of $360.  

4) This contract contains the quote for only this site's creation. After launch, you can always come to Diocesan for updates and tweaks, which we would quote out for you to approve ($70/hr).  If in the future, you are wanting a larger-scale design update, we would treat it as a new project and go through all the phases of a new project so all new design and functionality are thoroughly discussed before being custom built by our developers.

I apologize for this second email, but I noticed that I did not include Carolyn in my response.  Going forward she has been added to the project, so she will be receiving all of the communications as well.

Also, I noticed I provided incorrect information regarding our Tier 2 hosting.  Just to clarify, here is what is included with our Tier 1 and Tier 2 hosting packages:

Tier 1
5 GB online storage and 20GB monthly bandwidth.
$300/year

Tier 2
10 GB online storage and 30 GB monthly bandwidth.
$360/year.

Hi Alan,

I am sorry, this is a bit confusing for all, as I (Kristin) was the one who you spoke with, and hadn’t had the chance to update Carolyn on what we had talked about on Friday. I did get to speak with her briefly yesterday, and explained what was meant by the 2 domains in the original contract. So, after that conversation, she asked if we could actually have you host the 2 domains of both the church and the school? She liked the idea of one vendor hosting both of these sites. So that would be alpenacatholics (.com and .org) as well as alpenaallsaints (.com and .org)
